Core Responsibilities

Primary Functions

  • Plan and execute end-to-end logistics for recurring and one-off catering events, including load-in/load-out sequencing, staging, on-site setup, and teardown to ensure seamless service delivery.
  • Build detailed production and delivery schedules that synchronize kitchen prep timelines, packaging, transport departure windows, driver assignments, and on-site service times for multi-location events.
  • Analyze historical event data and sales trends to develop accurate demand forecasts and itemized food/beverage consumption models that minimize waste and stockouts.
  • Develop and maintain route optimization plans using routing software, GPS tracking, and traffic/window constraints to reduce transit times and transportation costs while preserving food quality.
  • Conduct cost modeling and margin analysis for catering events, including labor, transportation, packaging materials, vendor costs, and equipment rental to inform pricing and profitability decisions.
  • Manage relationships with third-party carriers, couriers, equipment rental companies, and specialty suppliers; negotiate rates, SLAs, and service windows to secure reliable capacity for peak periods.
  • Maintain inventory control systems for perishable and non-perishable supplies across central kitchens and satellite sites; perform cycle counts, FIFO/FEFO enforcement, and reconciliation with POS/ERP systems.
  • Implement and audit food safety and regulatory compliance processes (HACCP, local health codes, temperature control, allergen handling) throughout the supply chain and at event sites.
  • Coordinate staffing and labor logistics with culinary and service leadership—create shift schedules, assign drivers and event crews, plan contingency coverage for last-minute changes.
  • Create, monitor, and report on key performance indicators (KPIs) such as on-time delivery rate, order accuracy, cost per event, food waste rate, and customer satisfaction scores.
  • Design standard operating procedures (SOPs) and checklists for packing, loading, transport, on-site setup, and break down to standardize event execution and reduce errors.
  • Lead post-event debriefs and root-cause analysis for delivery failures, inventory variances, or customer complaints; translate findings into process improvements and training.
  • Integrate catering logistics workflows with ERP, inventory, and POS systems to ensure real-time visibility into orders, stock levels, and dispatch status; collaborate with IT for data feeds and automations.
  • Perform supplier performance reviews, quality audits, and compliance checks to ensure delivered goods meet specifications and that lead times are consistently met.
  • Forecast and procure packaging, transport supplies, and small equipment needs to support scalable event programs while optimizing cost and sustainability.
  • Manage equipment logistics including routing, maintenance scheduling, asset tracking of hot boxes, refrigeration units, and specialty service items to maintain operational readiness.
  • Evaluate and pilot new technology solutions (TMS, route optimization, inventory forecasting tools, mobile dispatch apps) and provide business cases for adoption based on ROI and operational benefit.
  • Develop and oversee contingency and emergency logistics plans for weather disruptions, traffic incidents, supply interruptions, and last-minute order changes.
  • Prepare detailed logistics briefs and site maps for event teams and external vendors, including loading dock instructions, onsite contact lists, timing diagrams, and equipment placements.
  • Maintain accurate documentation of costs, invoices, delivery manifests, and event reports to support financial reconciliation and auditability.
  • Support menu costing and yield analysis with the culinary team by providing procurement price trends, vendor lead times, and historic consumption data to optimize menu engineering.
  • Coordinate cross-functional planning meetings with sales, culinary, procurement, and facilities to align on event requirements, special dietary needs, and client expectations.
  • Mentor and train operations staff on logistics best practices, safe food handling during transport, and use of logistics systems to improve team capability and consistency.

Secondary Functions

  • Produce ad-hoc logistics and cost reports for finance, sales, and senior leadership to support strategic decision making.
  • Contribute to sustainability initiatives by recommending reusable packaging, consolidated deliveries, and vendor consolidation to reduce carbon footprint and cost.
  • Support supplier onboarding and qualification processes, including paperwork collection, insurance verification, and contract compliance checks.
  • Assist with inventory system upgrades and data migrations, validating SKU mappings and historical consumption data integrity.

Required Skills & Competencies

Hard Skills (Technical)

  • Advanced proficiency in logistics and route optimization tools (e.g., Route4Me, OptimoRoute, Sygic, or equivalent).
  • Strong Excel skills (pivot tables, VLOOKUP/XLOOKUP, advanced formulas) for forecasting, cost modeling, and reporting.

Educational Background

Minimum Education:
