Core Responsibilities

Primary Functions

  • Execute personal service of civil process documents (summons, complaint, subpoena, notice, writs of possession, eviction notices) to defendants, respondents and witnesses, ensuring service meets state and local statutory requirements and court rules.
  • Prepare and complete detailed, sworn Affidavits of Service and Proofs of Service that document the date, time, location, method of service, and conditions of the encounter for use as admissible court evidence.
  • Perform skip tracing and investigative research using public records, databases, social media, skip-tracing tools, DMV and property records to locate hard-to-find individuals while maintaining legal and ethical boundaries.
  • Conduct stakeouts, coordinate timed service attempts, and perform surveillance when required to achieve effective service while minimizing risk to self and property.
  • Provide contemporaneous evidence of service: capture time-stamped GPS coordinates, digital photographs, video (where lawful), and witness signatures to substantiate service attempts and outcomes.
  • Maintain meticulous chain-of-custody and secure handling of original court documents, client materials and returned legal papers; ensure sensitive documents are logged, transported and stored according to policy.
  • File and return documents to courts and attorneys as needed, including making court runs, filing affidavits of service, and delivering certified or overnight mailings in strict adherence to filing deadlines.
  • Testify in court as a witness of service when required, articulating the facts of service, the steps taken to locate the recipient, and the basis for an affidavit of service.
  • Communicate proactively with clients (attorneys, paralegals, process-serving agencies) to provide status updates, escalate service issues, request additional directions and confirm successful service.
  • Comply with all state licensing, bonding, insurance and background-check requirements for process servers, and keep certifications current in jurisdictions that require registration or bonding.
  • Adhere to all legal limitations and safety protocols when serving process—avoid trespass, respect do-not-contact orders, recognize and respond to potential threats, and de-escalate hostile encounters safely and professionally.
  • Utilize case management and process-serving software and mobile apps to schedule assignments, log attempts, upload proof-of-service materials, invoice billable runs and manage client records in real time.
  • Plan efficient daily routes and priorities based on time sensitivity, geographic clustering, and court filing deadlines to maximize productivity and reduce mileage and client costs.
  • Coordinate multi-attempt service strategies, including substituted service, service by mail, posting, or service on authorized agents, following local procedural requirements and documenting all alternatives tried.
  • Maintain accurate and auditable activity logs, mileage reports, expense records and client invoices; provide clear billing documentation for each assignment.
  • Conduct address verifications, tenant checks and on-site property inspections to support eviction proceedings and related landlord-tenant actions while following applicable eviction laws.
  • Assist with process-serving litigation support tasks such as locating witnesses, serving discovery packages, effectuating civil warrants or orders, and collaborating with private investigators when complex investigations are needed.
  • Monitor and adjust to fluctuating work hours and on-call duties; respond to urgent or time-sensitive service requests outside normal business hours, including evenings and weekends, when required by clients or courts.
  • Maintain professional relationships with court personnel, law enforcement and other field partners to facilitate filings, resolve procedural questions and ensure compliance with jurisdictional requirements.
  • Review incoming client instructions thoroughly; assess serviceability risk, clarify ambiguities (aliases, multiple addresses), and recommend viable service options to meet legal standards.
  • Conduct pre-service checks to ensure the legality and sufficiency of documents being served (proper captioning, signed attachments), and flag defective or improperly prepared documents to client counsel before attempting service.
  • Train, mentor and, where applicable, oversee junior or contract servers, providing guidance on best practices for safe service, documentation standards, regulatory compliance and software use.
  • Maintain vehicle readiness and field equipment (smartphone, camera, GPS device, protective gear) to ensure timely assignment completion and personal safety.
  • Update and maintain a secure repository of served and returned documents (digital and paper), ensuring retrievability for audits, appeals and client inquiries.

Secondary Functions

  • Support internal case managers and attorneys with ad-hoc research, locating alternate contacts, or canvassing neighborhoods to develop leads for hard-to-find subjects.
  • Contribute to the agency’s quality assurance processes by participating in case reviews, evidence audits and documentation standardization initiatives.
  • Assist billing and operations teams by submitting timely expense claims, client reports and inputting invoiceable items into the billing platform.
  • Participate in cross-training programs and continuous education on changes to civil procedure, local court rules, safety protocols and technology tools used by the firm.
  • Provide input on route optimization and workload distribution to improve turnaround times and reduce operational costs.
  • Maintain and update client-facing portals with delivery confirmations, scanned affidavits and supporting multimedia evidence.
  • Help develop and update standard operating procedures (SOPs) for specialty serves such as service on corporations, out-of-state service, and complex multi-defendant actions.

Minimum Education:
