Core Responsibilities
Primary Functions
- Serve as the primary administrative liaison for corporate leadership and cross-functional teams by managing executive calendars, scheduling complex multi-party meetings, preparing agendas, tracking action items, and ensuring timely follow-up to move initiatives forward.
- Coordinate corporate governance and board support activities, including preparing board packets, collating materials, scheduling board and committee meetings, distributing minutes, and maintaining board record archives in accordance with corporate policy.

- Own invoice processing and budget tracking for corporate initiatives: reconcile departmental budgets, code expenses, prepare PO requests, escalate anomalies to finance, and support monthly reporting to stakeholders.
- Coordinate internal communications and documentation: draft and distribute corporate announcements, maintain SOPs and policy documents in SharePoint/Confluence, and ensure version control and accessibility for employees.

- Act as project coordinator for corporate improvement initiatives β develop project plans, define milestones, coordinate resources, run status meetings, escalate risks, and maintain project documentation to achieve on-time delivery.

- Support HR and payroll tasks as needed (timesheet validation, expense policy guidance, benefits communications) and escalate any payroll or benefits discrepancies to HR partners for resolution.
- Serve as the primary point of contact for cross-functional stakeholder inquiries β triage requests, identify subject-matter owners, coordinate responses, and ensure SLA adherence for internal service delivery.
- Process travel arrangements and expense reconciliation for corporate staff and visitors β enforce travel policy, optimize itineraries for cost and time, and manage corporate travel vendor accounts.
- Implement and maintain process improvements by reviewing current workflows, drafting improved SOPs, piloting automation opportunities (templates, macros, low-code tools), and scaling best practices across teams.
- Support internal audit preparation by assembling requested documentation, responding to auditor queries, and tracking remediation plans to closure in coordination with finance and legal.
- Maintain CRM or enterprise systems data integrity (e.g., vendor master, office asset registry) by performing periodic audits, updating records, and coordinating with IT for system enhancements or access issues.
- Prepare and manage confidential and sensitive materials including legal, compensation, and strategy documents β ensure secure storage, limited access, and compliance with information security policies.
- Coordinate corporate sustainability and CSR logistics when applicable β liaise with vendors, track program metrics, and prepare communications and summaries for leadership and external stakeholders.
