Core Responsibilities
Primary Functions
- Manage front-desk operations including patient check-in/check-out, insurance verification, demographic and medical record updates, and ensuring a warm, efficient patient experience across all channels (phone, email, in-person).
- Oversee scheduling for providers and hygienists to maximize chair utilization, reduce cancellations/no-shows, and coordinate complex multi-visit treatment plans, coordinating with clinical staff to confirm appointment flow.
- Administer the practice management software (Dentrix, Eaglesoft, Open Dental, Eaglesoft) and electronic dental records (EDR/EHR), including creating and maintaining provider schedules, patient records, and reporting templates.
- Lead insurance verification and claims management: obtain benefit information, pre-authorizations, submit electronic and paper claims, follow up on denials, and manage appeals to reduce days in A/R.
- Supervise billing and collections including posting payments, reconciling daily deposits, running patient statements, contacting patients for overdue balances, and overseeing payment plan setup.
- Prepare and deliver transparent treatment estimates and financial arrangements to patients, present treatment plans in collaboration with clinicians, and manage case acceptance workflows.
- Monitor accounts receivable metrics, produce weekly and monthly KPI reports (production, collections, A/R aging, new patients, recall percentages), and implement corrective actions to improve revenue performance.
- Hire, train, schedule, mentor, and evaluate administrative staff (receptionists, billing specialists), conduct performance reviews, and develop training materials and SOPs for front-office processes.
- Maintain compliance with federal and state regulations, including HIPAA privacy/security, OSHA bloodborne pathogen and infection control standards, and state dental board rules, coordinating staff training and audits.
- Manage office supply and dental inventory processes: order supplies and lab items, track usage and costs, negotiate with vendors, and maintain accurate inventory levels to control expenditures.
- Coordinate referral networks and external vendor relationships, including dental laboratories, specialized providers, insurance carriers, and practice IT or software vendors.
- Execute payroll coordination for administrative staff, including timekeeping oversight, PTO management, and liaising with accounting or payroll providers to ensure accurate, timely payments.

- Manage new patient onboarding and orientation processes, from insurance intake and pre-treatment communication to collecting medical history, consent forms and financial responsibility agreements.
- Lead monthly financial close tasks for the practice: reconcile bank deposits, review income statements, monitor expense categories, and provide actionable recommendations to the owner(s) on profitability improvements.
- Implement and maintain marketing and patient acquisition efforts such as website updates, local SEO, social media coordination, community outreach, and tracking new patient sources and campaign ROI.
- Coordinate credentialing and contracting processes for providers with insurance networks, maintain provider enrollment, verify provider eligibility, and keep contract documents current.
- Troubleshoot front-office technology and business continuity issues: coordinate with IT vendors on practice management software upgrades, data backups, and cybersecurity controls.
- Facilitate patient complaints and escalations, mediate between clinical staff and patients, and ensure timely resolution consistent with practice policies and patient-centric service standards.
- Oversee lab case management and treatment logistics: submit lab prescriptions, track case progress, communicate timelines to patients and clinicians, and resolve quality or delivery issues.
- Develop and maintain standard operating procedures and training documentation for administrative and patient-facing functions to ensure consistency and compliance across shifts.
- Lead process improvement initiatives using data-driven analysis: identify bottlenecks in scheduling, billing, or patient flow and implement operational changes to improve efficiency and patient experience.
