Core Responsibilities

Primary Functions

  • Design, implement and continuously refine end-to-end legal operations frameworks including contract lifecycle management, matter intake, triage, matter management, matter closure and lessons-learned processes to increase consistency and reduce cycle times across the legal portfolio.
  • Own the legal department’s budget planning and forecasting process, preparing annual operating and outside counsel budgets, tracking spend variance, producing forecasts, and presenting budget recommendations and performance to the General Counsel and CFO.
  • Lead vendor and outside counsel management programs—conduct panel and rate negotiations, issue and manage scopes of work, implement alternative fee arrangements (AFAs), and run regular performance reviews to drive cost efficiency and quality.
  • Oversee selection, implementation and optimization of the legal technology stack (CLM, matter management, e-billing, knowledge management, legal hold, NDAs automation, AI-linear drafting tools), partnering with IT and procurement to manage vendor selection, integrations, and rollout roadmaps.
  • Establish and maintain e-billing policies, invoice review procedures, and automated rules to ensure billing compliance, identify cost-saving opportunities, and reduce overcharges and disputes with outside counsel.
  • Define, track and socialize legal KPIs and SLAs (e.g., cycle time, matter throughput, outside counsel spend, contract turnaround time, risk exposure) and deliver monthly/quarterly legal operations dashboards and insights to senior stakeholders.
  • Implement matter intake and legal triage workflows (including self-service legal portals and routed approvals) to ensure appropriate use of legal resources and rapid resolution of routine requests.
  • Lead cross-functional projects (M&A support, regulatory programs, privacy compliance, enterprise contracts initiatives) by aligning legal resourcing, workflows, and technology to business timelines and risk tolerances.
  • Build and manage a high-performing legal operations team: hire, coach, set objectives, manage capacity planning, and create career development paths for legal ops, procurement, data analysis, and project management specialists.
  • Drive process improvement initiatives using Lean, Six Sigma, or similar methodologies to remove waste, automate repetitive work, and standardize templates and playbooks across the legal function.
  • Create and govern a centralized contract repository and taxonomy, enforce metadata standards, and champion knowledge management practices to increase contract visibility and reduce duplicative legal effort.
  • Lead the design and deployment of contracting playbooks, clause libraries, and preapproved templates to accelerate negotiation cycles while preserving legal and commercial risk guardrails.
  • Coordinate legal compliance programs (privacy, data security, regulatory filings) operationally, ensuring legal processes support enterprise compliance and audit readiness.
  • Manage legal risk reporting and systematize risk identification and mitigation workflows, including playbooks for high-risk or high-value matters that require GC escalation.
  • Oversee legal intake triage and resourcing models to shift appropriate work to self-service tools, paralegal staff, or lower-cost providers, while ensuring high-value legal work remains with experienced attorneys.
  • Drive adoption and ROI measurement of legal technology by defining success metrics, running user training and change management programs, and iterating on configuration and integrations.
  • Lead contracting standardization and commercial process alignment with Sales, Procurement, Finance, and Business Units to optimize revenue recognition timelines, minimize contract exceptions, and speed sales cycles.
  • Develop and run outside counsel panel selection processes and audits, implementing scorecards and KPIs to evaluate performance and value delivered versus spend.
  • Negotiate and manage enterprise-wide contracts for legal technology, e-discovery, investigation services, and other legal vendors—ensuring favorable terms, SLAs, and compliance with procurement policies.
  • Provide executive-level reporting and briefings to General Counsel and the executive team on metrics, cost-savings achieved, operational risks, and technology roadmaps.
  • Lead legal operations change management, communications, and training for new processes, policies, and tools to maximize adoption and minimize disruption to legal service delivery.
  • Oversee e-discovery and litigation support operations, including vendor selection, process design, defensible workflows, and cost control strategies during litigation and regulatory investigations.
  • Partner with HR and talent teams to define staffing models, job descriptions, and compensation benchmarks for the legal team to match business needs and market norms.
  • Ensure data governance and privacy practices for legal systems, including access controls, retention rules, secure integrations, and compliance with enterprise data policies.

Secondary Functions

  • Support ad-hoc reporting requests and exploratory legal analytics to help GC and business leaders make informed decisions about risk, spend, and resource allocation.

Education & Experience

Educational Background

Minimum Education:

  • Bachelor’s degree in Business, Finance, Information Systems, Paralegal Studies, or related field.

  • Juris Doctor (JD), MBA, or master’s degree in a related discipline is preferred for senior roles; relevant certifications (Six Sigma, PMP, Certified Legal Manager) are a plus.
