Core Responsibilities
Primary Functions
- Plan, assign, and monitor daily driver and carrier loads using the company's Transportation Management System (TMS) to maximize asset utilization, reduce empty miles, and meet customer delivery windows.
- Create and optimize multi-stop routes by balancing customer priorities, driver hours-of-service, fuel costs, and traffic patterns to improve on-time delivery and reduce transportation spend.
- Maintain constant real-time communication with drivers, owner-operators, and third-party carriers to proactively resolve delays, breakdowns, weather disruptions, and other exceptions that could impact service.
- Negotiate rates, capacity, and service terms with carriers and owner-operators to secure cost-effective capacity while maintaining service-level agreements and compliance standards.
- Validate shipment documentation, bills of lading, delivery receipts, and proof-of-delivery (POD) to ensure accuracy, timely billing, and adherence to customer instructions.
- Monitor electronic logging devices (ELD), GPS telematics, and load status updates to ensure drivers comply with DOT hours-of-service rules and company safety policies.
- Coordinate cross-dock, consolidation, and deconsolidation activities with warehouse teams to reduce dwell time and improve throughput for time-sensitive shipments.
- Resolve customer inquiries and escalate shipment exceptions to operations managers, providing clear status updates, root causes, and recovery plans to maintain customer trust.
- Track key performance indicators (OTD, dwell time, detention, detention claims, cost-per-mile, and utilization) and produce daily/weekly reports for operations and senior management.
- Schedule and manage appointment windows with shippers and consignees, negotiating accessorials and detention times to protect company margins and driver productivity.
- Implement and maintain carrier onboarding, insurance verification, and compliance checks, including safety ratings, W-9s, and proof of insurance.
- Execute freight tendering, re-brokering, and backhaul planning to maximize revenue and reduce empty return miles while balancing service requirements.
- Investigate and process claims for cargo loss, damage, delays, and accessorial disputes; coordinate with insurance, claims, and customer service teams to achieve timely resolutions.
- Maintain a current knowledge of regulatory requirements (FMCSA, DOT, HAZMAT rules if applicable) and ensure that shipments and drivers comply with regulations and required permits.
- Collaborate with sales and account management to develop tailored operational plans for key accounts, seasonal volume spikes, and special project logistics.
- Conduct root-cause analysis on repeat service issues and implement corrective actions, standard operating procedures (SOPs), and training to drive continuous improvement.
- Use Excel and TMS reporting tools to analyze routing, carrier performance, cost variances, and capacity trends to inform strategic decisions and procurement.
- Prioritize and reassign resources dynamically during peak periods, emergency loads, and disruption events to protect customer service levels and meet contractual obligations.
- Manage accessorial invoicing and coordinate with finance to validate carrier invoices, dispute erroneous charges, and support accurate billing to customers.
- Train, mentor, and onboard junior dispatch staff to build a high-performing dispatch team capable of handling volume spikes and complex routing scenarios.
- Coordinate intermodal transfers and working relationships with rail, drayage, port authorities, and customs brokers when required to support multimodal freight movements.
- Maintain accurate dispatch logs, driver manifests, and load files to ensure traceability, audit-readiness, and clear handoffs between shifts or teams.
Secondary Functions
- Analyze historical dispatch and carrier performance data to identify cost-saving opportunities, seasonal patterns, and capacity constraints and present recommendations to leadership.
- Support special projects such as network redesign, last-mile pilot programs, or green routing initiatives to reduce environmental impact and transportation costs.

Required Skills & Competencies
Hard Skills (Technical)
