The Dog Transport Specialist (also known as Pet Transporter or Animal Relocation Specialist) is responsible for the safe, humane, and regulatory-compliant ground and/or air transport of dogs and other companion animals. This role combines vehicle operation, animal handling, client communication, logistics planning, health and welfare monitoring, and thorough documentation to ensure each animal’s comfort and safety during short- and long-distance relocations, rescue transfers, and owner moves.

Core Responsibilities

Primary Functions

  • Plan, schedule, and execute safe door-to-door transport routes for dogs, coordinating pick-ups and deliveries with pet owners, shelters, foster families, and veterinary clinics while optimizing for travel time and animal comfort.
  • Perform pre-trip health and welfare checks, verify vaccination records and required travel documentation (vaccination certificates, health certificates, microchip registrations, international export/import permits) and escalate concerns to a supervising veterinarian or client as needed.
  • Safely load, secure, and unload crates and carriers using best practices for animal comfort and vehicle safety, including correct crate sizing, stacking, labelling and securing to prevent movement during transit.
  • Monitor each animal continuously during transport for signs of stress, injury, illness or distress; provide immediate first aid as appropriate and seek veterinary care when necessary; document welfare observations in transport logs.
  • Administer medications, supplements or calming aids only with explicit written veterinary authorization and client consent, following dosage instructions, logging administration times and maintaining chain-of-custody for controlled items.
  • Maintain strict adherence to safety, biosecurity and sanitation protocols: clean and sanitize crates, carriers, mats and vehicle surfaces between transports; manage waste and laundry per company and public health guidelines.
  • Ensure driver and vehicle compliance with local, state and federal regulations (e.g., DOT for commercial operations) as well as airline-specific IATA Live Animals Regulations when coordinating air segments.
  • Coordinate complex multi-modal relocations involving ground, air and/or third-party carriers: prepare cargo manifests, coordinate check-in with airlines, ensure proper crate labeling and arrange ground transfers at hubs or meet-and-greets.
  • Communicate proactively with clients and stakeholders: provide ETA updates, transport progress photos and post-delivery confirmations; manage expectations and resolve client concerns courteously and professionally.
  • Complete and maintain accurate transport documentation including manifests, chain-of-custody forms, health certificates, incident reports, cleaning logs, mileage logs and billing support documentation.
  • Inspect and maintain transport vehicles and specialized equipment (ramps, tie-downs, HVAC systems, temperature monitors) and report maintenance needs; ensure vehicles are stocked with supplies (first aid kits, water, bowls, cleaning supplies, blankets).
  • Conduct crate fitting sessions and familiarization walks before multi-day or long-distance relocations to reduce transit anxiety and teach proper door and crate entry/exit habits.
  • Execute safe animal handling techniques for loading, unloading and secure in-vehicle positioning, including lifting assistance for large/assisted animals and use of harnesses, slings or lifting aids as required.
  • Triage and manage emergency situations en route, including route re-planning in case of severe weather, accidents or facility closures, maintaining composure while prioritizing animal and human safety.
  • Perform weight and body condition assessments where required for airline compliance, documenting measurements accurately and adjusting crate choices or travel plans as necessary.
  • Maintain confidentiality and professional handling of sensitive client and medical information in accordance with company policy and applicable privacy laws.
  • Train and mentor junior transport staff and volunteers in humane handling, crate techniques, basic animal first aid, sanitation standards and customer service expectations.
  • Liaise with veterinarians, customs brokers, airlines and kennel staff to obtain necessary health clearances, arrange quarantine or veterinary appointments as required, and ensure smooth cross-jurisdictional transfers.
  • Manage multi-stop pickups or puppy/dog distributions for breeders, shelters and rescues and coordinate consolidated transport runs while balancing animal welfare and route efficiency.
  • Perform post-delivery welfare follow-up calls or messages to clients and receiving facilities to confirm wellbeing, document any post-transport issues and capture testimonials or feedback for quality improvement.
  • Execute temperature-controlled transport protocols for puppies, senior dogs, pregnant bitches or medically fragile animals including monitoring ambient temperature and humidity and adjusting HVAC controls and bedding accordingly.
  • Prepare animals for airline check-in when necessary: ensure crates meet airline size and ventilation specifications, affix required documentation and live-animal labels, and accompany or coordinate with ground staff for safe handoff.
  • Assist with intake and exit logistics for shelter-to-shelter or rescue transfer programs including issuing transfer paperwork, reconciling inventories and tracking animal movement in database systems.
  • Maintain a high standard of animal welfare and professional ethics in interactions with the public, rescue partners, veterinary teams and regulatory agencies, promoting company reputation.
  • Participate in continuous improvement initiatives: recommend route optimizations, equipment upgrades, SOP updates, and training improvements based on on-the-road experience and incident reviews.
  • Ensure accurate invoicing and expense reporting for fuel, tolls, boarding, veterinary fees and incidental supplies related to transport runs and provide receipts and documentation to operations/finance teams.

Secondary Functions

  • Assist operations teams with logistics planning, route optimization and carrier spot-checks to improve on-time performance and animal welfare outcomes.
  • Support customer service and bookings teams by providing animal transport expertise during client intake calls and bookings confirmations, including advising on crate size and pre-travel preparation.
  • Help maintain the digital transport tracking system or CRM with up-to-date status updates, photos and incident notes to enhance transparency and allow automated client notifications.
  • Contribute to training materials, SOP documents and safety checklists that standardize best practices across the transport team.
  • Participate in community outreach and education events on safe pet travel practices, crate acclimation and animal welfare during relocations.
  • Support ad-hoc operational requests such as special event transport, emergency evacuations, or temporary sheltering during large-scale rescue missions.

Required Skills & Competencies

Hard Skills (Technical)

  • Licensed driver with a clean driving record and experience operating cargo vans, box trucks, or passenger vans with pet crates; CDL preferred for larger commercial operations.
  • Practical knowledge of IATA Live Animals Regulations and experience coordinating air travel paperwork and crate compliance for airline shipments.
  • Strong animal handling skills across sizes and temperaments: safe handling, lifting, restraint, and low-stress handling techniques for dogs.

Educational Background

Minimum Education:
