Core Responsibilities

Primary Functions

  • Manage the end-to-end conversion process, transforming manuscripts from formats like Word or InDesign into high-quality, reflowable EPUB and fixed-layout digital formats.
  • Perform rigorous quality assurance (QA) checks on all digital files across a wide range of e-readers, tablets, and mobile devices (e.g., Kindle, Kobo, Apple Books, Nook) to ensure functionality and visual fidelity.
  • Expertly code and troubleshoot HTML and CSS within EPUB files to resolve complex formatting issues, enhance design elements, and ensure compliance with accessibility standards (WCAG).
  • Develop and maintain comprehensive metadata for all digital titles, including ISBNs, BISAC codes, keywords, and descriptive copy, to optimize discoverability on retail and library platforms.
  • Oversee the distribution of digital assets to a global network of retail and library partners, managing delivery schedules and ensuring all platform-specific requirements are met.
  • Collaborate with cover designers and internal artists to ensure digital cover art is optimized for various resolutions and thumbnail displays on retail websites.
  • Implement and manage digital rights management (DRM) policies in coordination with authors and editorial teams to protect intellectual property.
  • Act as the primary technical point of contact for authors and internal stakeholders regarding e-book formatting, conversion specifications, and distribution timelines.
  • Create and maintain detailed documentation and style guides for e-book production to ensure consistency and efficiency across all projects.
  • Stay current with evolving e-book standards, new e-reader technologies, and emerging trends in the digital publishing industry to inform and improve our production workflow.
  • Manage the ingestion and archival of all final digital files, including source files and converted formats, within the company's digital asset management (DAM) system.
  • Correct and update existing digital backlist titles as needed, processing errata and implementing new formatting standards or enhanced features.
  • Generate and format print-on-demand (POD) files, ensuring they meet the specific technical requirements for platforms like KDP Print and IngramSpark.
  • Coordinate with freelance formatters, conversion houses, and other external vendors, providing clear instructions and reviewing their work for quality control.
  • Prepare and validate digital files for inclusion in subscription services and digital book bundles, adhering to unique partner specifications.
  • Embed rich media content, such as audio and video clips, into enhanced e-book formats and ensure their cross-platform compatibility.

Secondary Functions

  • Provide training and support to editorial and production staff on best practices for manuscript preparation to streamline the e-publishing workflow.
  • Assist the marketing team by creating digital samples and promotional versions of e-books for online campaigns and author websites.
  • Monitor sales and performance data from various retail platforms to identify any metadata or file issues that may be impacting visibility or sales.
  • Participate in the evaluation and implementation of new e-publishing software, tools, and automation technologies to increase efficiency and quality.

Required Skills & Competencies

Hard Skills (Technical)

  • EPUB Expertise: Deep, hands-on knowledge of EPUB2 and EPUB3 standards, including the ability to manually edit and debug HTML/CSS within the file structure.
  • Adobe Creative Suite: High proficiency in Adobe InDesign for layout and export, as well as Photoshop for image optimization.
  • HTML & CSS: Strong command of web fundamentals to structure content and style it effectively for various e-reading systems.
  • XML: Familiarity with XML workflows and its application in content structuring and conversion processes.
  • E-Book Software: Experience with e-book creation and editing tools such as Calibre, Sigil, and Vellum.
  • Digital Distribution Platforms: Practical experience uploading and managing titles on key platforms like Amazon Kindle Direct Publishing (KDP), Apple Books, IngramSpark, and Kobo Writing Life.
  • Metadata Management: Understanding of industry standards for metadata, including ONIX, BISAC, and Thema classifications.
  • Digital Asset Management (DAM): Experience using DAM systems to organize, archive, and retrieve digital files.

Experience Requirements
