Core Responsibilities

Primary Functions

  • Masterfully convert and re-engineer complex digital files from source formats like Adobe InDesign, Microsoft Word, and PDF into pristine, valid, and reflowable EPUB3 and MOBI files.
  • Perform rigorous, multi-device quality assurance (QA) testing on all digital products to identify and resolve formatting, display, and functionality issues before publication.
  • Hand-code and meticulously edit HTML5 and CSS3 within ebook files to ensure semantic structure, enforce styling consistency, and optimize the user reading experience.
  • Manage and enrich product metadata, ensuring accuracy and completeness for optimal discoverability across all retail and distribution channels, often utilizing ONIX standards.
  • Systematically upload, manage, and update digital content files and associated metadata on various partner platforms, including Amazon KDP, Apple Books, Kobo, and Barnes & Noble Press.
  • Act as a primary technical troubleshooter, diagnosing and resolving complex file-related issues reported by internal teams, distribution partners, or end-users.
  • Develop, maintain, and enhance technical documentation for digital production workflows, style guides, and best practices to ensure team consistency and efficiency.
  • Collaborate effectively with editorial, design, and marketing teams to ensure the final digital product aligns with the original creative vision and meets project deadlines.
  • Champion and implement digital accessibility standards (WCAG, EPUB Accessibility 1.0) to ensure content is usable by all readers, including those with disabilities.
  • Manage the full lifecycle of ebook files, including processing corrections, implementing version control, and handling takedown requests for updated editions.
  • Prepare and optimize all graphic and image assets for digital publication, ensuring they meet resolution, color profile, and file size requirements for various e-reading devices.
  • Validate all EPUB files against industry-standard tools like EPUBCheck, meticulously correcting any errors or warnings to guarantee compliance and distribution success.
  • Proactively monitor and research emerging e-reading technologies, platform specification changes, and evolving industry standards to inform and adapt our production processes.
  • Create and format intricate fixed-layout ebooks for visually rich content like children's books and cookbooks, ensuring precise element placement and interactivity.
  • Work within established XML-first workflows, transforming XML content using XSLT or other tools to generate multiple output formats for different platforms.
  • Communicate project status, potential risks, and production timelines clearly and consistently to project managers and other key stakeholders.
  • Liaise with external conversion vendors and freelancers, providing clear instructions, managing deliverables, and performing quality control on their work.
  • Support the creation of ancillary digital materials, such as sample chapters, digital catalogs, and promotional web assets derived from core publication content.
  • Optimize ebook files for performance, focusing on minimizing file size without compromising quality to improve download speeds and device storage efficiency.
  • Assist in the preparation and quality control of digital files for Print-on-Demand (POD) services, ensuring they meet specific printer requirements.

Secondary Functions

  • Support the digital asset management system by properly archiving final project files, source materials, and related assets for future use.
  • Provide technical guidance and support to authors and editors on best practices for manuscript preparation to streamline the digital conversion process.
  • Assist the marketing team by generating specific file formats or content snippets needed for promotional campaigns and social media.
  • Participate in cross-functional team meetings to contribute to the planning and strategy of new digital products and content initiatives.

Required Skills & Competencies

Hard Skills (Technical)

  • HTML5 & CSS3: Deep proficiency in hand-coding clean, semantic HTML and advanced CSS for styling and structuring digital content.
  • Adobe Creative Suite: Expert-level skills in Adobe InDesign for typesetting and export, along with proficiency in Photoshop and Illustrator for image preparation.
  • Ebook Formats: Thorough understanding of the EPUB (both reflowable and fixed-layout) and MOBI/KFX file structures and specifications.
  • XML Technologies: Experience with XML, DTDs/Schemas, and ideally XSLT for content transformation and single-source publishing workflows.
  • Metadata Standards: Strong working knowledge of ONIX for Books, or similar metadata formats, and its importance in the digital supply chain.
  • Digital Platforms: Hands-on experience with major ebook distribution platforms like Amazon KDP, Apple Books, and Google Play Books.
  • QA & Validation Tools: Proficiency with industry-standard validation tools such as EPUBCheck and Kindle Previewer.
  • Regular Expressions (Regex): Ability to use regular expressions for complex text search-and-replace operations during file cleanup and preparation.
  • FTP & File Management: Competency in using FTP clients and managing large volumes of files in a structured and organized manner.
  • Accessibility Standards: Familiarity with WCAG and EPUB Accessibility guidelines to create inclusive digital products.
