Core Responsibilities

Primary Functions

  • Provide comprehensive and personalized academic advising to a diverse caseload of students, guiding them on degree requirements, course selection, and long-term academic planning to ensure timely graduation.
  • Proactively monitor the academic progress of assigned students using institutional data and early alert systems, intervening with targeted support and resources for those at risk of academic difficulty.
  • Collaborate with students to develop meaningful and achievable educational plans that align with their personal interests, academic strengths, and long-term career aspirations.
  • Serve as a primary resource for students, clearly interpreting and explaining institutional policies, academic regulations, and procedures to ensure student understanding and compliance.
  • Diligently maintain accurate and confidential student records, documenting all advising interactions, academic plans, and progress notes within the university's student information system.
  • Design and deliver engaging group advising workshops and orientation sessions for new and continuing students, covering topics such as registration, academic success strategies, and campus resources.
  • Identify student needs beyond academic planning and make appropriate, timely referrals to other campus support services, such as career services, counseling and psychological services, financial aid, and tutoring centers.
  • Facilitate major and career exploration activities, utilizing career assessment tools and labor market data to help undeclared or transitioning students identify and commit to a suitable academic and professional path.
  • Actively participate in and contribute to departmental and institutional initiatives aimed at improving student retention, persistence, and overall satisfaction.
  • Maintain a thorough and up-to-date knowledge of all curriculum changes, degree program requirements, and academic policies to provide accurate and effective guidance.
  • Engage in proactive and multi-modal communication with students through email, phone calls, virtual meetings, and in-person appointments to build rapport and ensure they are informed of important deadlines and opportunities.
  • Provide preliminary evaluation of transfer credits and assist transfer students in understanding how their previous coursework applies to their new degree program.
  • Serve as a dedicated advocate for students, helping them navigate complex university processes and connecting them with faculty or administrators to resolve academic or personal challenges.
  • Represent the advising department at recruitment, admissions, and outreach events, effectively communicating the value of the academic experience and support services to prospective students and their families.
  • Develop and update a variety of advising materials, including handouts, online resources, and presentation content, to support student self-service and understanding of academic processes.
  • Provide intensive, structured advising for students on academic probation, developing and monitoring academic success plans to help them return to good academic standing.
  • Conduct final degree audits and certify that students have met all institutional, college, and major requirements for graduation.
  • Assist in the collection and analysis of data to assess the effectiveness of advising services and programs, contributing to a culture of continuous improvement.
  • Foster strong collaborative relationships with faculty advisors within academic departments to ensure a seamless and consistent advising experience for students.
  • Develop and implement specialized advising strategies to support the unique needs of specific student populations, such as first-generation students, international students, student-athletes, or students with disabilities.
  • Recruit, train, and supervise student peer advisors or mentors, providing them with the necessary tools and guidance to effectively support their fellow students.
