Core Responsibilities

Primary Functions

  • Act as the central point of contact for project information, fielding and directing inquiries from internal teams, contractors, and clients to ensure clear and consistent communication.
  • Develop, manage, and meticulously maintain a comprehensive document control system for all engineering drawings, technical specifications, and project-related correspondence.
  • Coordinate and facilitate project meetings, including preparing agendas, distributing materials, recording detailed meeting minutes, and tracking action items to ensure accountability.
  • Assist Project Managers in creating and updating detailed project schedules, timelines, and Gantt charts using project management software like MS Project.
  • Monitor project progress against established timelines and milestones, proactively identifying and reporting any delays, risks, or deviations to engineering leadership.
  • Prepare and distribute regular project status reports, dashboards, and presentations for management and key stakeholders, summarizing key metrics and progress.
  • Manage the Request for Information (RFI) and submittal process, ensuring timely review and response between the design team, contractors, and suppliers.
  • Liaise with the procurement team to coordinate the purchasing of materials, equipment, and services, including tracking orders and ensuring timely delivery to meet project deadlines.
  • Support the management of engineering change orders (ECOs), ensuring that all changes are properly documented, approved, and communicated to all affected parties.
  • Maintain and update the Bill of Materials (BOM) for various projects, ensuring accuracy and alignment with the latest design revisions.
  • Provide direct administrative support to the engineering department, including managing calendars, coordinating travel, and processing expense reports.
  • Organize and prepare technical documentation packages for regulatory submissions, client review, and final project handover.
  • Track project budgets and expenses, assisting project managers by compiling cost data and generating reports to monitor financial performance.
  • Serve as a super-user and provide support for engineering software tools, such as CAD, PLM, or ERP systems, assisting team members with basic functions and access.
  • Onboard new engineering team members by providing them with access to necessary systems, documentation, and an overview of departmental procedures.
