Core Responsibilities

Primary Functions

  • Conceptualize, develop, and implement a comprehensive and diverse calendar of daily, weekly, and monthly entertainment programs, special events, and activities tailored to a wide range of audiences and demographics.
  • Source, audition, and negotiate contracts with a diverse roster of external talent, including musicians, bands, DJs, magicians, speakers, and other performers, ensuring high-quality and brand-aligned entertainment.
  • Manage the entire event planning and execution lifecycle, from initial concept and budget creation to on-the-day logistics, vendor coordination, and post-event reporting.
  • Oversee and manage all event-related logistics, including venue selection, room setup, decor, catering, transportation, and audio-visual (A/V) equipment requirements.
  • Develop and meticulously manage event budgets, track all expenses, process invoices, and deliver detailed financial reports to ensure events are executed within financial parameters.
  • Collaborate closely with the marketing and communications teams to create compelling promotional materials, social media content, and internal communications to drive awareness and maximize attendance for all events.
  • Act as the primary on-site point of contact during events, overseeing staff and vendors, troubleshooting issues in real-time, and ensuring a seamless and positive experience for all guests and performers.
  • Coordinate all aspects of talent management, including scheduling, travel arrangements, accommodation, technical riders, and on-site hospitality to ensure a professional and welcoming experience for performers.
  • Proactively seek out new entertainment trends, fresh talent, and innovative event concepts to keep our programming exciting, relevant, and ahead of the curve.
  • Conduct thorough post-event evaluations, gathering feedback from guests and stakeholders to measure success against KPIs and identify opportunities for future improvements.
  • Develop and maintain strong working relationships with vendors, suppliers, talent agencies, and internal departments to facilitate smooth and collaborative event execution.
  • Ensure all entertainment activities and venues strictly adhere to health, safety, and security protocols, including capacity limits, emergency procedures, and accessibility standards.
  • Prepare and present detailed event proposals, plans, and recaps to senior management and key stakeholders.
  • Maintain and organize a detailed inventory of all entertainment props, supplies, and technical equipment, coordinating repairs and purchases as needed.
  • Serve as a charismatic host or Master of Ceremonies (MC) for select events, confidently engaging the audience and guiding the flow of the program.
  • Schedule and lead pre-event production meetings with all relevant staff, crew, and vendors to ensure alignment on roles, responsibilities, and timelines.
  • Research and secure all necessary permits, licenses (e.g., music licensing), and insurance required for events, ensuring full legal and regulatory compliance.
  • Manage the recruitment, training, and scheduling of part-time event staff or volunteers, providing clear direction and motivation to the team.
  • Create detailed production schedules, run-of-show documents, and contact sheets for every event to ensure clear communication and flawless coordination.
  • Liaise with technical crews to define and execute lighting, sound, and video requirements that enhance the overall event atmosphere and support performer needs.

Secondary Functions

  • Support inter-departmental projects by providing entertainment-related insights and logistical support for company-wide initiatives.
  • Assist in developing and documenting standard operating procedures (SOPs) for the entertainment department to streamline processes and ensure consistency.
  • Compile and analyze data on event attendance, guest satisfaction, and ROI to contribute to strategic planning and data-driven decision-making.
  • Participate in regular creative brainstorming sessions with the wider team to contribute fresh ideas for all aspects of the guest experience.

Required Skills & Competencies

Hard Skills (Technical)

  • Event Management Software: Proficiency in platforms like Cvent, Bizzabo, or similar event management systems.
  • Budgeting & Financial Acumen: Strong ability to create, manage, and track detailed event budgets using spreadsheets (Excel, Google Sheets).
  • Contract Negotiation & Vendor Management: Proven experience in negotiating terms and managing relationships with performers, suppliers, and vendors.
  • Project Management Tools: Familiarity with tools like Asana, Trello, or Monday.com for tracking tasks and timelines.

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma or equivalent.

Experience Requirements

Typical Experience Range:

  • 2-5 years of direct experience in event coordination, activity planning, hospitality, or a closely related entertainment role.

  • Demonstrable experience planning and executing a wide variety of events in a resort, cruise line, large-scale entertainment venue, or corporate setting.
  • A strong portfolio of successfully managed events.
  • Hands-on experience with live show production and talent booking is a significant asset.
