Core Responsibilities

Primary Functions

  • Comprehensive Property & Systems Management: Develop, implement, and oversee a proactive, year-round maintenance calendar for all estate structures, advanced mechanical systems (HVAC, security, AV, smart home), and grounds to ensure flawless operation and prevent future issues.
  • Staff Leadership & Development: Lead all aspects of household staff management, including the recruitment, onboarding, training, scheduling, and ongoing performance evaluation of housekeepers, chefs, groundskeepers, nannies, and security personnel to cultivate a world-class service team.
  • Large-Scale Project & Renovation Oversight: Direct all construction, renovation, and interior design projects from conception to completion, including sourcing architects and designers, managing the bidding process, overseeing contractors, and ensuring projects are delivered on time and within budget.
  • Vendor & Contractor Relations: Source, negotiate with, and manage a curated network of high-quality external vendors, suppliers, and artisans, ensuring service level agreements are met and preferred pricing is secured.
  • Financial & Budgetary Stewardship: Create, manage, and meticulously report on the annual household operating budget, oversee payroll, track all expenditures, process invoices, and provide regular, transparent financial summaries to the principals or family office.
  • Event Planning & Execution: Orchestrate and manage all social and private events hosted at the estate, from intimate family dinners to large-scale galas, coordinating all logistics including catering, staffing, décor, and security.
  • Security & Risk Management: Implement and maintain robust, state-of-the-art security protocols and emergency procedures, managing security personnel and systems to ensure the complete safety, privacy, and peace of mind for the principals and their guests.
  • Asset & Inventory Management: Maintain a detailed, digital inventory of all valuable household assets, including fine art, antiques, wine collections, jewelry, and couture, coordinating with insurers, appraisers, and conservators as needed.
  • Personal Service & Principal Support: Act as the primary liaison for the principals, anticipating their needs and preferences to provide a seamless and highly personalized living experience, handling all special requests with efficiency and discretion.
  • Fleet Management: Oversee the care, maintenance, legal registration, and readiness of a collection of luxury vehicles, yachts, and/or private aircraft, coordinating with drivers, captains, and pilots.
  • Grounds & Landscape Excellence: Supervise horticultural and landscaping teams to ensure the estate’s grounds, gardens, lawns, and natural landscapes are maintained to an impeccable standard, reflecting the desired aesthetic of the principals.
  • Household Standards & Protocol: Create and maintain comprehensive household manuals, standard operating procedures (SOPs), and service protocols to ensure consistency and excellence across all areas of operation.
  • Smart Home & Technology Management: Master and manage all integrated home technology, including Creston/Savant systems, advanced AV equipment, and IT networks, ensuring they are always functional and user-friendly for the principals.
  • Travel Coordination: Plan and coordinate complex domestic and international travel arrangements, including private aviation, ground transportation, accommodations, and detailed itineraries, often at a moment's notice.
  • Guest Experience Management: Ensure a five-star hospitality experience for all house guests, from pre-arrival preparations and warm welcomes to personalized service and seamless departures.
  • Procurement & Supply Chain Management: Manage the procurement of all household goods and supplies, from everyday consumables to specialty items, ensuring the home is always perfectly stocked.
  • Administrative Oversight: Handle all administrative duties related to the estate, including managing correspondence, maintaining records, and ensuring all property-related insurance and permits are current.
  • Pet Care Coordination: Oversee the complete care and well-being of household pets, including coordinating veterinary appointments, grooming, specialized diets, and daily exercise routines.
  • Wardrobe & Valet Management: Supervise the care, organization, and maintenance of the principals' wardrobes, including professional packing and unpacking for travel and coordination with specialist cleaners.
  • Sustainability Initiatives: Research and implement eco-friendly practices and sustainability initiatives across the estate's operations, from waste reduction to energy efficiency, where desired by the principals.

Secondary Functions

  • Liaise directly with the family office, accountants, and legal advisors on matters pertaining to the estate, staff, and related financial reporting.
  • Maintain and update the principals' shared calendars, coordinating personal, social, and family appointments to prevent scheduling conflicts.
  • Research and recommend new technologies, luxury services, or operational systems that could enhance efficiency and the quality of life on the estate.
  • Provide first-level IT and AV troubleshooting for the principals, acting as the liaison for external IT consultants on more complex issues.

Educational Background

Minimum Education:

Experience Requirements

Typical Experience Range:

  • 7-10+ years of progressive experience in a senior management role within a private estate, luxury hotel, or superyacht environment.

Preferred:

  • Direct experience managing estates larger than 15,000 sq. ft. with multiple structures and a significant number of household staff. Verifiable, long-term experience serving high-net-worth (HNW) or ultra-high-net-worth (UHNW) principals is essential.
