Core Responsibilities
Primary Functions
- Manage end-to-end logistical coordination for all events, including venue sourcing, contract negotiation, catering arrangements, audiovisual (AV) setup, and transportation.
- Serve as the primary point of contact for external vendors, suppliers, and partners, fostering strong relationships and ensuring all service level agreements are met.
- Meticulously track event budgets, process invoices, manage expenses, and assist with financial reconciliation to ensure events are delivered within financial constraints.
- Oversee the entire attendee registration process, from setting up online portals to managing inquiries, processing payments, and distributing confirmations and credentials.

- Handle all pre-event and on-site attendee inquiries with a high level of professionalism and customer service, providing timely and accurate information.
- Arrange and manage travel and accommodation logistics for speakers, VIP guests, and internal staff attending events.
- Research, source, and secure contracts with speakers, entertainers, and facilitators to enhance the event program and attendee engagement.
- Ensure all events comply with relevant health, safety, and accessibility regulations, conducting risk assessments and implementing necessary protocols.
- Utilize and manage event management software platforms (e.g., Cvent, Bizzabo, Eventbrite) for registration, communication, and reporting.
- Support the planning and execution of virtual and hybrid events, managing digital platforms, coordinating virtual speakers, and engaging online audiences.
- Manage the inventory of event-related supplies, equipment, and promotional materials, overseeing shipping and logistics to and from event venues.
Secondary Functions
- Process and track event-related invoices, purchase orders, and expense reports to ensure timely and accurate financial reconciliation.
- Assist in the creation and distribution of event communications, including email invitations, social media announcements, and post-event thank you notes.
