Core Responsibilities

Primary Functions

  • Spearhead the end-to-end strategic planning and execution of a diverse portfolio of events, including corporate conferences, product launches, trade shows, and high-profile client-facing functions, ensuring perfect alignment with client objectives and brand identity.
  • Provide high-level strategic counsel to clients on all facets of event design and management, from initial concept ideation and theme development to post-event analysis and ROI measurement.
  • Develop, manage, and reconcile complex event budgets, meticulously tracking all expenses, negotiating with vendors for optimal value, and delivering transparent financial reports to clients and stakeholders.
  • Lead the full project lifecycle for multiple, concurrent events, establishing detailed timelines, defining critical milestones, and managing cross-functional teams to ensure all deliverables are met on schedule and within budget.
  • Source, vet, negotiate, and manage contracts with a wide array of third-party vendors, including venues, caterers, AV production companies, transportation services, and technology providers, securing high-quality and reliable partners.
  • Conduct comprehensive venue research and lead site inspections, critically evaluating locations based on capacity, accessibility, technical capabilities, cost-effectiveness, and overall ambiance to find the perfect fit for each event.
  • Serve as the primary on-site leader and point of contact during events, overseeing all logistical operations, managing staff and vendors, and proactively resolving issues in real-time to ensure a seamless and flawless attendee experience.
  • Design and implement innovative event concepts and experiential marketing strategies that resonate with the target audience and effectively communicate the client's core brand message.
  • Cultivate and maintain strong, long-term relationships with clients, acting as a trusted advisor by deeply understanding their business needs and consistently proposing value-added event solutions.
  • Measure and analyze event performance against predefined Key Performance Indicators (KPIs), delivering comprehensive post-event reports that detail ROI, attendee feedback, and actionable strategic insights for future programs.
  • Develop and execute integrated marketing and communication plans to drive event registration, build anticipation, and foster attendee engagement before, during, and after the event.
  • Advise clients on leveraging virtual and hybrid event formats, including platform selection, digital engagement tools, and content delivery strategies to maximize reach and impact.
  • Lead client discovery sessions and stakeholder interviews to thoroughly understand project goals, define success metrics, and profile the target audience, ensuring a strong strategic foundation.
  • Create and deliver compelling, data-driven proposals and presentations to prospective and existing clients, clearly articulating the strategic vision and value proposition for their proposed event.
  • Oversee the management of guest lists, invitation protocols, and VIP coordination, ensuring a high-touch, premium experience for key stakeholders and attendees.
  • Develop robust risk management and contingency plans for each event to proactively mitigate potential issues related to safety, security, weather, or other unforeseen circumstances.

Experience Requirements
