Core Responsibilities

Primary Functions

  • Conceptualize, plan, and execute a diverse portfolio of events, including corporate conferences, trade shows, product launches, client appreciation dinners, webinars, and internal team-building activities.
  • Manage the entire event lifecycle, from initial ideation and objective setting through to on-site management and post-event reporting and reconciliation.
  • Develop and meticulously track comprehensive event budgets, ensuring adherence to financial goals, processing invoices membros, and identifying opportunities for cost-saving.
  • Conduct thorough venue research, site visits, and contract negotiations to secure the optimal location that aligns with event goals, capacity, and budget.
  • Source, negotiate with, and manage relationships with a wide range of external vendors, including caterers, audiovisual (AV) technicians, decorators, transportation services, and entertainment.
  • Oversee all event logistics, including registration and attendee tracking, travel and accommodation arrangements, room setups, and detailed event timelines and run-of-show schedules.
  • Serve as the primary on-site point of contact during events, proactively troubleshooting issues and managing staff and vendors to ensure a seamless and high-quality attendee experience.
  • Collaborate with the marketing and communications teams to develop and execute promotional strategies, create event-related content, and manage event-specific social media campaigns.
  • Coordinate the design, production, and distribution of all event materials, such as invitations, signage, programs, name badges, and promotional swag.
  • Manage event-related technology, including registration platforms (like Cvent or Eventbrite), virtual event software (like Zoom or Hopin), and mobile event apps.
  • Develop detailed project plans and timelines, and communicate status updates, risks, and progress रिपोर्ट to key stakeholders and senior management regularly.
  • Conduct post-event debrief meetings, gather feedback from attendees and stakeholders through surveys, and prepare comprehensive reports analyzing event success against key performance indicators (KPIs).
  • Maintain an organized database of vendors, venues, and contacts, fostering strong relationships for future events and negotiations.
  • Ensure all events comply with legal, safety, insurance, and health regulations, conducting risk assessments as needed.
  • Coordinate and manage event staffing, including a team of volunteers or temporary staff, by assigning roles and providing clear on-site direction.
  • Arrange for speaker and VIP guest logistics, including travel, lodging, and special requirements, ensuring a first-class experience.
  • Oversee the complete setup and breakdown of the event space, ensuring all contractual obligations with the venue are met.
  • Manage event inventory, including marketing collateral, signage, and equipment, before and after each event.
  • Research industry trends and best practices to bring innovative ideas and fresh, creative concepts to the planning process.
  • Act as a brand ambassador, representing the company professionally and enthusiastically at all events and in all vendor interactions.

  • Budget Management: Strong ability to create, track, and reconcile complex event budgets using Excel or other financial software.
  • Vendor Negotiation & Contract Management: Proven skill in sourcing vendors and negotiating favorable terms and contracts.
