Core Responsibilities
Primary Functions
- Serve as the primary point of contact and dedicated relationship manager for clients, from initial contract signing through post-event analysis and follow-up.
- Develop, maintain, and meticulously manage comprehensive event project plans, timelines, and production schedules to ensure all milestones are achieved.
- Coordinate all event logistics, including but not limited to venue selection, catering arrangements, audio-visual requirements, transportation, and guest accommodations.
- Liaise directly with a wide range of vendors, suppliers, and contractors, skillfully negotiating contracts and ensuring their services meet our quality standards and budget constraints.
- Create and manage detailed event budgets, diligently track all expenses against projections, process invoices, and prepare comprehensive financial reconciliation reports for stakeholders.
- Conduct thorough site inspections and pre-event walkthroughs with clients and key vendors to finalize layouts, operational flow, and contingency plans.
- Provide proactive, hands-on management and leadership on-site during events, acting as the central command for troubleshooting and resolving any emergent issues with poise and efficiency.
- Collaborate closely with internal marketing and communications teams to develop promotional strategies, manage event registration platforms, and ensure consistent brand messaging.
- Prepare, assemble, and distribute all event-related documentation, including detailed agendas, run-of-shows, speaker briefing packets, and attendee welcome kits.
- Design and implement post-event feedback mechanisms, such as surveys and debrief sessions, to capture client satisfaction and identify key learnings for future improvements.
- Facilitate clear and consistent communication between all event stakeholders, including internal departments, executive leadership, external partners, speakers, and sponsors.
- Oversee the entire lifecycle of event setup and breakdown, ensuring that all contractual obligations are met and the venue is restored to its original condition.
- Manage the logistics for VIPs, guest speakers, and entertainers, including coordinating their travel, lodging, technical riders, and on-site schedules.
- Ensure all events are executed in strict compliance with relevant health, safety, accessibility, and legal regulations, including securing necessary permits and insurance.
- Develop and implement comprehensive risk management and contingency plans to anticipate and mitigate potential challenges before and during the event.
Secondary Functions
- Support the sales and business development teams by providing logistical insights and preliminary quotes for inclusion in new client proposals and pitches.
- Maintain and meticulously update the organization's CRM database with current client information, vendor contacts, and detailed event histories.
- Research and stay abreast of emerging trends in the event industry, including new technologies, virtual/hybrid event solutions, and innovative guest experiences to propose fresh ideas.
- Assist in managing the inventory of event-related supplies, equipment, and branded collateral, coordinating orders and replenishment as needed.
- Generate comprehensive post-event reports that analyze key performance indicators (KPIs) such as attendance figures, budget performance, audience engagement, and overall ROI.
