Core Responsibilities

Primary Functions

  • Plan, coordinate, and execute all logistical aspects of a diverse portfolio of in-person, virtual, and hybrid events, including industry trade shows, proprietary conferences, webinars, and workshops.
  • Develop and manage comprehensive event project plans, detailed timelines, and budgets, ensuring all milestones and deliverables are met on time and within financial guidelines.
  • Collaborate with cross-functional teams, including Sales, Product Marketing, Design, and Communications, to define event goals and ensure cohesive messaging and brand representation.
  • Source, negotiate, and manage contracts and relationships with external vendors, including venues, caterers, AV providers, and event technology platforms.
  • Create and implement integrated pre-event and post-event marketing campaigns across multiple channels (email, social media, paid ads) to drive registration, attendance, and engagement.
  • Manage all facets of on-site event execution, including booth setup, registration, staff coordination, live-event troubleshooting, and teardown to guarantee a seamless attendee experience.
  • Develop and oversee lead generation and capture strategies for events, working closely with the sales team to ensure timely and effective lead qualification and follow-up.
  • Analyze event performance, ROI, and KPIs, delivering detailed post-event reports with data-driven insights and actionable recommendations for future optimization.
  • Manage the event technology stack, including registration platforms (Cvent, Bizzabo), mobile event apps, and virtual event software, to enhance the attendee journey.
  • Coordinate the design, production, and distribution of all event-related collateral, including signage, presentations, brochures, and promotional materials.
  • Manage the entire process of speaker and talent acquisition, from outreach and negotiation to pre-event preparation and on-site logistics.
  • Oversee complex shipping logistics and inventory management for booth properties, technical equipment, and marketing swag.
  • Conduct market research to identify, evaluate, and recommend relevant industry events, sponsorships, and speaking opportunities that align with strategic business goals.
  • Develop comprehensive staffing plans, create pre-event briefings, and provide training for on-site staff to ensure they are well-equipped to represent the brand and engage effectively.
  • Manage and execute post-event communication strategies, including attendee surveys, thank-you notes, and content distribution to nurture leads and maintain engagement.
  • Define and track key performance indicators (KPIs) for each event, such as cost per lead, registration-to-attendee conversion rate, and audience engagement scores.
  • Partner with social media and content teams to develop and execute a content plan for live event coverage to amplify reach and engagement.

Secondary Functions

  • Manage and maintain the inventory of marketing collateral and promotional items (swag), handling ordering, storage, and distribution for all events.
  • Support the creation of sales enablement materials, such as event-specific talking points and one-pagers, to equip the sales team for success.
  • Conduct competitive analysis by monitoring the event strategies, messaging, and presence of key competitors to inform our own approach.
  • Assist in processing invoices, tracking expenses against budget, and contributing to the financial reconciliation of all event-related activities.

Required Skills & Competencies

  • Experience with CRM software (e.g., Salesforce) for lead management and campaign tracking.
  • Hands-on experience with marketing automation tools (e.g., Marketo, HubSpot, Pardot).
  • Strong budget management, financial tracking, and cost-control skills.
  • Proven expertise in contract negotiation with a wide range of venues and vendors.

Experience Requirements

Typical Experience Range: 3-5 years of direct experience in event marketing or event management, preferably in a corporate environment.
