Core Responsibilities
Primary Functions
- Own and manage the entire event lifecycle from initial concept and strategy development through to post-event reporting and analysis for a diverse range of virtual, hybrid, and in-person events.
- Develop, manage, and meticulously track comprehensive event budgets, ensuring projects are delivered on-time, within scope, and on-budget while maximizing return on investment.
- Source, negotiate contracts with, and manage relationships with a wide array of external vendors, including venues, A/V production companies, caterers, technology platform providers, and transportation services.
- Create and maintain detailed project management documentation, including work-back schedules, production timelines, run-of-show documents, and risk assessment plans.
- Collaborate closely with marketing, sales, and communications teams to develop compelling event messaging, promotional strategies, and integrated campaigns to drive registration and attendance.
- Oversee all logistical components of event execution, such as registration and ticketing systems, attendee communications, speaker management, and on-site or virtual staffing.
- Direct the creative and content production process for events, including agenda development, speaker sourcing and preparation, presentation design, and integration of interactive elements.
- Conduct thorough post-event debriefs and analysis, gathering stakeholder feedback and leveraging data to create comprehensive reports on event performance, KPIs, and key learnings.
- Lead and facilitate all pre-production meetings, technical rehearsals, and on-site walkthroughs with speakers, sponsors, and production crews to ensure seamless execution.
- Ensure all events are produced in strict compliance with brand standards, legal guidelines, accessibility requirements, and health and safety regulations.
- Develop and execute sponsorship strategies, including the creation of sponsorship packages, prospecting, and managing sponsor fulfillment and relationships.
- Act as the primary, central point of contact for all internal and external event stakeholders, providing clear, consistent, and proactive communication throughout the project lifecycle.
- Lead on-site or virtual event execution, serving as the main decision-maker to troubleshoot issues in real-time and guarantee a high-quality, frictionless attendee experience.
- Stay abreast of industry trends, emerging technologies, and best practices in event production to continuously innovate and elevate our event portfolio.
- Develop comprehensive event staffing plans, including the recruitment, training, and on-site management of event staff, contractors, and volunteers.
- Coordinate with internal departments such as IT, legal, finance, and security to ensure all technical, operational, and compliance requirements are meticulously planned and met.
- Manage the design, procurement, and installation of event collateral, including digital assets, signage, environmental branding, and promotional materials.
- Curate and manage the complete attendee journey, from the initial invitation and registration process to post-event engagement, to ensure a consistently positive and memorable experience.
- Prepare and present detailed event proposals, strategic briefs, and comprehensive post-event reports to senior leadership and key project stakeholders.
- Manage complex speaker logistics, including scheduling, travel arrangements, content submission, technical checks, and on-site/virtual green room management.
- Define key performance indicators (KPIs) for each event in alignment with business goals and implement tracking mechanisms to measure success against objectives.
