Core Responsibilities

Primary Functions

  • Develop and implement comprehensive promotional strategies and timelines to maximize event visibility, ticket sales, and attendance.
  • Conceptualize, create, and distribute engaging promotional materials, including flyers, posters, digital assets, and email newsletters.
  • Manage and grow event-specific social media channels, creating compelling content and interacting with the community to build excitement and engagement.
  • Identify and cultivate strong relationships with key industry players, including media outlets, influencers, sponsors, and venue partners to secure promotional opportunities.
  • Actively engage in direct, on-the-ground promotional activities, such as flyering at strategic locations and networking at relevant community gatherings.
  • Research and identify target demographics for each event, tailoring promotional messaging and outreach efforts to effectively reach these audiences.
  • Drive direct ticket sales through personal networks, online platforms, and targeted outreach initiatives.
  • Plan and execute pre-event "hype" activities, contests, and giveaways to generate buzz and capture audience data.
  • Manage guest lists, VIP invitations, and RSVPs, ensuring a seamless and positive experience for key attendees.
  • Act as a key point of contact on-site during events, welcoming guests, troubleshooting issues, and ensuring the overall vibe aligns with promotional promises.
  • Monitor and analyze the effectiveness of promotional campaigns by tracking key metrics like ticket sales, website traffic, social media engagement, and ROI.
  • Prepare detailed post-event reports summarizing promotional outcomes, attendance figures, and key learnings to inform future strategies.
  • Collaborate with the broader marketing team to ensure brand consistency and a cohesive message across all promotional channels.
  • Proactively seek and secure cross-promotional opportunities with complementary brands, businesses, and organizations.
  • Manage a budget for promotional materials and activities, ensuring cost-effective execution without compromising on quality or reach.
  • Coordinate and manage street teams or brand ambassadors, providing clear direction, training, and motivation.
  • Stay current with the latest trends in event marketing, social media, and digital promotion to keep our strategies innovative and effective.
  • Generate and pitch story ideas and press releases to local and niche media to earn media coverage for events.
  • Utilize event management platforms (like Eventbrite, Ticketmaster) to set up event pages, track sales, and communicate with attendees.
  • Respond to public inquiries about events via email, social media, and phone in a professional and timely manner.
  • Build and maintain a database of contacts, including media, influencers, past attendees, and potential partners for future outreach.
  • Assist in negotiating contracts and agreements with promotional partners, vendors, and media.

  • Email Marketing: Experience with platforms like Mailchimp or Constant Contact for creating and sending promotional emails.
  • Event Management Software: Familiarity with tools like Eventbrite, Splash, or Ticketmaster.
