Core Responsibilities
Primary Functions
- Develop, manage, and meticulously maintain comprehensive event calendars and master schedules, ensuring no conflicts and optimal utilization of venues and resources.
- Serve as the primary point of contact for all event-related inquiries, providing timely and accurate information to internal teams, clients, and external partners.
- Coordinate the end-to-end logistics for a diverse range of events, including conferences, webinars, workshops, trade shows, and corporate meetings.
- Liaise with clients and internal stakeholders to understand their event requirements, objectives, and budget constraints from the initial briefing stage.
- Research, evaluate, and recommend suitable venues based on event size, budget, and specific technical or logistical needs.
- Manage the complete lifecycle of vendor relationships, from sourcing and negotiation to contract management and performance evaluation for services like catering, AV, and transportation.
- Create and maintain detailed event project plans, timelines, and checklists to ensure all deadlines are met and tasks are completed efficiently.
- Prepare and manage event budgets, track all expenses, process invoices, and deliver post-event financial reconciliation reports.
- Schedule and lead regular planning meetings with key stakeholders to provide status updates, address challenges, and ensure alignment on event goals.
- Coordinate all aspects of event registration, including setting up online registration forms, managing attendee lists, and handling inquiries.
- Arrange and manage complex travel and accommodation logistics for event attendees, speakers, and staff.
- Develop and distribute all pre-event and post-event communications, including invitations, reminders, agendas, and feedback surveys.
- Provide on-site support during events to ensure smooth execution, troubleshoot issues in real-time, and act as the main point of contact for all operational matters.
