Core Responsibilities

Primary Functions

  • Proactively manage and de-conflict exceptionally complex and dynamic calendars for C-suite executives, requiring strategic prioritization and the ability to make informed judgments on time allocation.
  • Coordinate intricate domestic and international travel arrangements, including flights, visas, accommodations, and ground transportation, while compiling detailed, multi-time-zone itineraries.
  • Act as a dedicated gatekeeper, professionally fielding, triaging, and managing all incoming communications, including emails, calls, and in-person requests, to optimize the executive's focus.
  • Prepare, proofread, and format a wide range of internal and external-facing documents, including confidential correspondence, board materials, reports, and sophisticated presentations.
  • Plan, coordinate, and execute high-stakes meetings, board sessions, executive off-sites, and company events, managing all logistics from venue and catering to agenda and material distribution.
  • Process and reconcile expense reports, purchase orders, and invoices in a timely manner, ensuring strict compliance with company policy and accurate budget tracking.
  • Lead and support a variety of special projects on behalf of the executive, tracking deliverables, holding stakeholders accountable, and ensuring deadlines are met.
  • Handle highly sensitive and confidential information relating to business strategy, personnel, and finances with the utmost discretion and integrity.
  • Build and maintain strong, collaborative relationships with key internal and external stakeholders, including board members, investors, clients, and the senior leadership team.
    s- Anticipate the executive's needs and proactively identify and resolve potential scheduling, logistical, or administrative issues before they arise.
  • Manage the executive's email inbox with precision, organizing messages, flagging urgent items for attention, and drafting responses on their behalf.
  • Provide comprehensive administrative support for Board of Directors activities, including scheduling meetings, compiling and distributing board books, and taking meeting minutes.
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the executive, including those of a sensitive or confidential nature, and recommend an appropriate course of action.
  • Act as a key resource and point of contact for the executive's direct reports and the broader team, fostering a positive and efficient working environment.
  • Assist with the seamless onboarding of new senior hires, coordinating schedules, technology setup, and initial administrative guidance.
  • Draft and polish compelling PowerPoint and Google Slides presentations for all-hands meetings, investor updates, and external speaking engagements.
  • Maintain an organized system of digital and physical files, ensuring critical information is easily and quickly retrievable.
  • Coordinate with Facilities, IT, and other internal departments to ensure the executive's office and technology needs are consistently met.
  • Serve as a culture champion, helping to plan and execute team-building activities and fostering a positive, collaborative atmosphere within the executive's organization.
  • Provide personal support as needed to enable the executive to dedicate maximum time and energy to strategic business priorities.

Required Skills & Competencies

Hard Skills (Technical)

  • Expert-level proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Advanced mastery of Google Workspace (Gmail, Calendar, Docs, Sheets, Slides).
  • Extensive experience with travel and expense management software (e.g., Concur, TripActions, Expensify).
  • High proficiency with video conferencing platforms (Zoom, Microsoft Teams, Google Meet).

Education & Experience

Educational Background

Minimum Education:

  • Bachelor's Degree or equivalent practical experience.

Experience Requirements

Typical Experience Range: 5-10+ years of direct experience supporting C-level executives.

Preferred: Prior experience in a fast-paced, high-growth technology, venture capital, or professional services firm. A proven track record of successfully supporting multiple executives is highly desirable.
