Core Responsibilities

Primary Functions

  • Serve as the primary point of contact and strategic thought partner for the executive, managing their time, attention, and priorities to maximize effectiveness and impact on key business objectives.
  • Design, plan, and facilitate high-stakes executive leadership team meetings, strategic off-sites, and annual planning sessions, ensuring clear agendas, timely distribution of pre-read materials, and the capture of actionable outcomes and follow-ups.
  • Manage the "rhythm of the business," establishing and maintaining the cadence for key operational and strategic reviews, including weekly staff meetings, monthly business reviews (MBRs), and quarterly business reviews (QBRs).
  • Act as a trusted proxy and information funnel for the executive, representing them in key meetings to gather critical information, provide necessary updates, and ensure alignment across various departments and stakeholders.
  • Drive the end-to-end lifecycle of special projects and strategic initiatives on behalf of the executive, from initial conception and scoping to execution, monitoring progress, and delivering comprehensive reports.
  • Proactively manage the executive's complex and dynamic calendar, anticipating needs, resolving scheduling conflicts with diplomacy, and ensuring all logistical arrangements are seamlessly executed for meetings, travel, and events.
  • Develop and manage internal and external communications on behalf of the executive, including drafting all-hands meeting content, organizational announcements, board presentations, and key stakeholder correspondence.
  • Build and maintain strong, trust-based relationships with key stakeholders, including the board of directors, investors, senior leadership, and external partners, to facilitate smooth communication and collaboration.
  • Conduct research, synthesize information, and prepare detailed briefings, reports, and presentations for the executive on a wide range of topics to support informed decision-making.
  • Act as a culture carrier for the executive's organization, championing values, promoting team morale, and helping to onboard new senior leaders to ensure they are integrated effectively.
  • Oversee the executive office's budget, manage expense reporting, and ensure compliance with financial policies while identifying opportunities for cost optimization.
  • Triage and prioritize incoming requests, emails, and issues, resolving matters independently where possible and escalating critical items to the executive with appropriate context and recommendations.
