Core Responsibilities

Primary Functions

  • Manage and maintain an extremely active and complex calendar of appointments, meetings, and events across multiple time zones, requiring constant prioritization and resolution of scheduling conflicts.
  • Act as the primary gatekeeper and point of contact, screening and directing phone calls, emails, and correspondence to help manage the executive's time and focus.
  • Arrange and coordinate complex international and domestic travel, including flights, accommodations, ground transportation, and visa applications, while creating detailed, seamless itineraries.
  • Prepare and submit accurate expense reports, manage corporate credit card reconciliation, and assist in tracking departmental or project budgets.
  • Plan, coordinate, and execute a wide range of meetings, both on-site and off-site, including preparing agendas, sourcing materials, managing logistics, and taking detailed minutes and tracking action items.
  • Handle highly sensitive and confidential information with the utmost discretion and integrity, serving as a trusted confidant on both professional and personal matters.
  • Proactively anticipate the executive's needs and take initiative to solve problems before they arise, demonstrating a forward-thinking and resourceful approach.
  • Draft, proofread, and format internal and external communications, reports, and presentations on behalf of the executive, ensuring a high standard of quality and accuracy.
  • Conduct research, compile data, and prepare briefing documents to ensure the executive is fully prepared for all meetings, engagements, and decisions.
  • Serve as a key liaison with the Board of Directors, investors, key clients, and other senior executives, fostering positive and professional relationships.
  • Manage special projects as assigned by the executive, overseeing timelines, deliverables, and stakeholder coordination from conception to completion.
  • Seamlessly blend professional and personal support, including managing personal appointments, coordinating family travel, overseeing household staff or vendors, and running essential errands.
  • Maintain and organize an efficient filing system for critical electronic and physical documents, ensuring easy and secure retrieval.
  • Plan and execute high-profile events, including team off-sites, client dinners, board meetings, and personal social gatherings.

Secondary Functions

  • Build and maintain strong working relationships with other Executive Assistants and administrative staff to ensure smooth collaboration and communication across the organization.
  • Assist in the onboarding process for new team members reporting to the executive, ensuring they have the necessary resources and introductions.
  • Manage and update the executive's professional and personal contact database (CRM) to ensure all information is current and accessible.
  • Provide backup support for other executives or team members as needed, demonstrating a collaborative and team-oriented spirit.
