Core Responsibilities
Primary Functions
- Serve as the primary point of contact for employees and their families throughout the entire international assignment lifecycle, from pre-departure briefing to repatriation.
- Initiate and monitor all immigration and visa processes, liaising with external legal counsel and government agencies to ensure timely and compliant document submission.
- Coordinate the full spectrum of relocation services, including household goods shipment, temporary housing arrangements, and destination services like school searches and cultural training.
- Prepare detailed assignment cost estimates and letters of assignment, clearly outlining compensation, benefits, and tax implications for the employee.
- Administer expatriate payroll instructions, allowances, and reimbursements, ensuring accurate and timely payment in coordination with the payroll department.
- Manage relationships with third-party vendors, including immigration firms, relocation management companies, and tax consultants, to ensure service level agreements are met.
- Conduct pre-assignment and post-arrival orientations to educate employees on company policies, cultural norms, and available support resources.
- Maintain meticulous and confidential employee records within the HRIS and global mobility software, tracking key dates, documentation, and assignment details.
- Provide ongoing support to assignees on a wide range of issues, acting as a troubleshooter for challenges related to housing, banking, healthcare, and daily life abroad.
- Collaborate with international HR counterparts and business line managers to ensure alignment and a seamless support structure for the assignee.
- Track and manage visa and work permit expiration dates, proactively initiating renewal processes to ensure continuous work authorization.
- Administer the tax equalization process, coordinating with tax service providers to facilitate employee tax consultations and annual return filings.
- Process and audit vendor invoices, ensuring accuracy and adherence to approved budgets before submitting for payment.
- Generate regular and ad-hoc reports on assignment status, costs, and key mobility metrics for management review.
- Assist in the development and updating of global mobility policies, processes, and documentation to enhance program efficiency and employee experience.
- Coordinate cross-cultural and language training for assignees and their families to facilitate a smoother cultural adaptation.
- Manage the repatriation process, ensuring a smooth transition for employees returning to their home country, including logistical and career-related support.
- Ensure compliance with all relevant international and local labor laws, immigration regulations, and tax requirements for each assignment location.
- Handle sensitive and confidential information with the utmost discretion, providing an empathetic and professional experience for all stakeholders.
- Partner with the Talent Acquisition team to provide mobility-related insights and cost projections for potential international hires or transfers.
