Core Responsibilities

Primary Functions

  • Serve as the dedicated, primary point of contact for international assignees and their families, providing high-touch support and guidance from pre-assignment planning through to repatriation.
  • Conduct comprehensive pre-assignment briefing and orientation sessions with employees to review policies, processes, and cultural considerations for the host country.
  • Develop detailed cost projections, balance sheets, and letters of assignment for all international moves, ensuring accuracy and alignment with approved budgets.
  • Manage the end-to-end relocation process, including household goods shipment, temporary housing, destination services, and schooling assistance, by coordinating with external vendors.
  • Initiate and oversee the immigration process for employees and their dependents, liaising with legal counsel to secure necessary visas, work permits, and residency documents.
  • Partner with tax service providers to coordinate pre-assignment tax consultations, ongoing tax compliance, and year-end tax equalization processes for the expatriate population.
  • Administer and interpret global mobility policies, providing expert counsel to assignees, HR Business Partners, and hiring managers on policy application and potential exceptions.
  • Act as the central escalation point for any issues or challenges faced by assignees during their assignment, proactively finding solutions to ensure a positive experience.
  • Manage and nurture relationships with a global network of third-party vendors (relocation, tax, immigration), monitoring their performance against service level agreements (SLAs).
  • Process and track all assignment-related expenses and invoices, ensuring timely payments to vendors and accurate cost allocation to the appropriate business units.
  • Prepare and maintain accurate records and files for all international assignees, utilizing global mobility technology platforms to track key data and assignment milestones.
  • Counsel business leaders on the strategic use of international assignments, including candidate selection, assignment structuring, and long-term talent planning.
  • Develop and deliver cross-cultural training and support resources to help assignees and their families adapt successfully to their new location.
  • Conduct regular check-ins with assignees during their time abroad to gauge their well-being, address concerns, and provide ongoing support.
  • Manage the repatriation process, coordinating end-of-assignment logistics and providing resources to facilitate a smooth reintegration back into the home country and organization.

Secondary Functions

  • Contribute to the annual review and continuous improvement of global mobility policies, processes, and service delivery models.
  • Assist in the preparation of RFPs (Request for Proposals) and participate in the selection and onboarding of new global mobility service providers.
  • Generate and analyze key mobility metrics and reporting for senior leadership to provide insights into program costs, trends, and effectiveness.
  • Support the development and maintenance of internal resource sites and communication materials for the global mobility program.
  • Participate in industry benchmarking surveys and network with peers to stay current on best practices and emerging trends in expatriate management.

Required Skills & Competencies

Hard Skills (Technical)

  • Global Mobility Policy: Deep understanding of various international assignment policies, including long-term, short-term, commuter, and permanent transfer frameworks.
  • Cross-Border Taxation: Strong working knowledge of expatriate tax principles, including tax equalization, hypotax, and social security agreements.
  • Immigration Law Fundamentals: Familiarity with global visa and work permit application processes and compliance requirements across key jurisdictions.
  • Cost Projection & Financial Acumen: Proficiency in creating detailed assignment cost estimates, balance sheets, and managing program budgets.
  • Vendor & Stakeholder Management: Proven ability to manage relationships and performance of external service providers and internal business partners.
  • Global Mobility Software: Experience using global mobility technology platforms such as AssignmentPro, Topia, or Equus AssignmentPro.

Education & Experience

Educational Background

Minimum Education:

  • Bachelor's Degree

Preferred Education:

  • Master's Degree or a relevant professional certification such as the Global Mobility Specialist (GMS®) designation.

Experience Requirements

Typical Experience Range:

  • 3-7 years of direct experience in a global mobility, international HR, or expatriate services role.

Preferred:

  • Experience working within a large multinational corporation's in-house mobility team or for a Big 4/global consulting firm in their International Assignment Services practice.
  • Proven, hands-on experience managing a caseload of international assignees across multiple countries and assignment types.
