Core Responsibilities
Primary Functions
- Supervise, lead, and mentor a team of maintenance technicians, janitorial staff, and groundskeepers, managing daily schedules, assigning work orders, and conducting performance evaluations.
- Develop, implement, and meticulously monitor a comprehensive preventative maintenance program for all critical building systems, including HVAC, electrical, plumbing, life safety, and fire suppression equipment.
- Conduct regular, thorough inspections of the facility, grounds, and equipment to proactively identify and resolve potential issues, ensuring a safe, clean, and fully operational environment at all times.
- Manage and prioritize all reactive maintenance requests submitted through our Computerized Maintenance Management System (CMMS), ensuring timely and effective resolution of all facility-related problems.
- Oversee all relationships with external vendors and contractors, including the negotiation of contracts, management of service level agreements (SLAs), and verification of work quality for services such as landscaping, pest control, and specialized repairs.
- Ensure strict and continuous compliance with all local, state, and federal regulations, including OSHA, EPA, and ADA standards, and maintain all required documentation, permits, and inspection records.
- Assist in the development and diligent management of the annual facilities operating budget, tracking expenditures, identifying cost-saving opportunities, and providing regular financial performance reports to leadership.
- Coordinate and manage a variety of facility projects, such as office reconfigurations, space planning, equipment installations, and minor renovations, from initial conception through to successful completion.
- Serve as the primary on-call point of contact for all building-related emergencies, developing and executing robust emergency response plans for situations like power outages, floods, or security incidents.
- Manage and maintain the facility's access control, security alarm, and video surveillance systems to ensure the physical safety and security of all employees, visitors, and company assets.
- Maintain a detailed inventory of all maintenance supplies, tools, and critical spare parts, overseeing the procurement process to ensure necessary items are always available.
- Develop, implement, and enforce facility policies and procedures to standardize operations, improve efficiency, and promote a deeply ingrained culture of safety and accountability.
- Oversee janitorial and custodial services, either in-house or contracted, to maintain the highest standards of cleanliness, hygiene, and presentation throughout the entire facility.
- Manage the organization's waste disposal and recycling programs, ensuring compliance with environmental regulations and actively promoting sustainability initiatives.
- Prepare and present detailed reports on facility operations, maintenance activities, project status, and budget performance to senior management.

- Evaluate and recommend new building technologies, sustainable practices, or operational processes to improve the overall efficiency and effectiveness of facility operations.
- Act as a key liaison between employees and management for any facility-related concerns, requests, or suggestions, fostering a positive and responsive service-oriented culture.
