Core Responsibilities

Primary Functions

  • Develop and execute comprehensive project plans for fairs and exhibitions, from initial concept through to post-event evaluation, ensuring all milestones are met on time and within budget.
  • Orchestrate all logistical aspects of the event, including venue selection, contract negotiation, floor plan design, audio-visual setup, staging, and security arrangements.
  • Serve as the primary point of contact for exhibitors, sponsors, and vendors, managing communications, processing applications, and providing exceptional customer service throughout the event lifecycle.
  • Collaborate with the marketing team to create and implement multi-channel promotional campaigns to drive attendee registration, ticket sales, and exhibitor participation.
  • Manage the event budget meticulously, tracking all income and expenditures, processing invoices, and providing regular financial reports to senior management.
  • Recruit, train, and manage a team of on-site event staff and volunteers, delegating tasks effectively to ensure smooth operations and a positive attendee experience.
  • Secure and manage relationships with key sponsors, developing attractive sponsorship packages and ensuring all contractual obligations and deliverables are fulfilled.
  • Coordinate with catering services to plan menus, manage dietary restrictions, and ensure high-quality food and beverage service for attendees, VIPs, and staff.
  • Oversee the entire registration process, utilizing event management software to track attendee data, manage ticketing tiers, and provide a seamless on-site check-in experience.
  • Develop and manage the event's master schedule, including keynote speakers, panel discussions, workshops, and entertainment, coordinating with all presenters and performers.
  • Ensure full compliance with all health, safety, and legal regulations, including securing necessary permits, insurance, and licenses for the event.
  • Conduct thorough post-event analysis by collecting and evaluating feedback from attendees, exhibitors, and sponsors to generate detailed reports with actionable recommendations for future improvements.
  • Manage the procurement and inventory of all event materials, including signage, promotional items, lanyards, badges, and informational packets.
  • Liaise with transportation and accommodation partners to facilitate travel arrangements and secure hotel blocks for out-of-town exhibitors, speakers, and attendees.
  • Develop robust risk management plans to identify potential issues and create contingency strategies to mitigate disruptions before and during the event.
  • Design and implement engaging on-site experiences and interactive activations to enhance attendee engagement, satisfaction, and social media buzz.
  • Maintain and consistently update the event website and mobile app with current information, schedules, speaker bios, and exhibitor directories.
  • Coordinate the detailed move-in and move-out logistics for all exhibitors and suppliers, ensuring an orderly, safe, and efficient process.
  • Handle all on-site troubleshooting and crisis management, responding promptly and professionally to any operational issues or emergencies that arise.
  • Cultivate and nurture strong relationships with industry associations, media partners, and community organizations to broaden the event's reach and impact.
  • Oversee the design and production of all event-related collateral, including brochures, programs, and digital assets, ensuring brand consistency and quality.
  • Manage the strategic allocation of exhibition space and booth assignments, optimizing the floor plan for traffic flow and maximizing exhibitor visibility.

Secondary Functions

  • Assist the sales and business development teams in identifying and prospecting for potential new exhibitors and sponsors.
  • Contribute to the development of long-term strategic goals and the expansion of the organization's portfolio of events.
  • Stay abreast of emerging industry trends, new event technologies, and best practices in experiential marketing to drive continuous innovation.
  • Support broader marketing efforts by contributing content for social media channels, email newsletters, and press releases related to the fair.

Required Skills & Competencies

Hard Skills (Technical)

  • High proficiency in Event Management Software (e.g., Cvent, Bizzabo, Aventri, Eventbrite).
  • Expertise in budget management and financial tracking using tools like Microsoft Excel, Google Sheets, or QuickBooks.
  • Experience with CRM software (e.g., Salesforce, HubSpot) for managing exhibitor, sponsor, and attendee relationships.
  • Competency with project management tools (e.g., Asana, Trello, Monday.com) to track tasks and timelines.
  • Familiarity with virtual and hybrid event platforms (e.g., Zoom Events, Hopin, vFairs).

Education & Experience

Educational Background

Minimum Education:

  • Bachelor's Degree or equivalent professional experience in a related field.

  • Certified Meeting Professional (CMP) or similar industry certification is a plus.
