Core Responsibilities

Primary Functions

  • Serve as the primary relationship manager and communication bridge between the corporate/central office and a designated portfolio of field sites, partners, or clients.
  • Conduct regular, scheduled, and ad-hoc site visits to partner locations to monitor program implementation, assess operational capacity, and ensure fidelity to our service model.
  • Provide direct, on-site technical assistance, coaching, and training to field staff and partners to enhance their skills and improve program outcomes.
  • Proactively identify, troubleshoot, and resolve issues, challenges, and conflicts that arise in the field, escalating complex problems to senior management when necessary.
  • Build and maintain strong, collaborative, and trust-based relationships with a diverse range of stakeholders, including community leaders, partner agency staff, and program participants.
  • Collect, verify, and analyze both qualitative and quantitative data from field sites, compiling findings into comprehensive reports and presenting insights to leadership.
  • Facilitate communication and information flow by hosting regular check-in calls, webinars, and regional meetings with field partners.
  • Ensure all field activities and partner operations are in strict compliance with contractual obligations, organizational policies, and relevant legal or regulatory standards.
  • Act as a brand ambassador, representing the organization professionally and positively at local community events, conferences, and stakeholder meetings.
  • Gather and document feedback, success stories, and testimonials from the field to inform program development, marketing efforts, and fundraising initiatives.
  • Assist partner sites in developing and executing strategic plans for outreach, recruitment, and service delivery to meet established targets and goals.
  • Monitor and report on regional trends, community needs, and competitive landscapes to provide strategic intelligence back to the central office.
  • Develop and disseminate best practices, toolkits, and resource materials to support the continuous improvement of field operations.
  • Collaborate with internal departments (e.g., Programs, Finance, IT) to ensure that field sites receive the necessary support and resources to operate effectively.
  • Mediate discussions and facilitate problem-solving sessions between different field partners or between partners and the main office to ensure alignment and collaboration.
  • Evaluate the effectiveness of program activities and partner performance against key performance indicators (KPIs), providing constructive feedback for improvement.
  • Coordinate the logistics for site-specific projects, events, and initiatives, including scheduling, resource allocation, and vendor management.
  • Onboard and orient new field partners or staff, ensuring they have a thorough understanding of our mission, procedures, and expectations.
  • Maintain meticulous records of all site visits, communications, and follow-up actions in the organization's CRM or project management system.
  • Participate in the design and refinement of program models by providing practical, field-informed perspectives and recommendations.
  • Support crisis management efforts by providing real-time information and on-the-ground coordination during unexpected events or emergencies at field sites.

Secondary Functions

  • Assist in the planning and execution of annual conferences, regional trainings, and other large-scale organizational events.
  • Contribute content for organizational newsletters, social media, and websites by capturing compelling stories and updates from the field.
  • Manage and reconcile travel expenses and submit activity reports in a timely and accurate manner.

Required Skills & Competencies

Hard Skills (Technical)

  • CRM Software: Proficiency in using CRM systems like Salesforce, Microsoft Dynamics, or similar platforms for contact and activity management.
  • Data Collection & Reporting: Experience with data collection tools (e.g., SurveyMonkey, Google Forms) and ability to synthesize data into clear, actionable reports.
  • Project Management Tools: Familiarity with tools such as Asana, Trello, or Monday.com to track tasks, deadlines, and project progress.
  • MS Office Suite: Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook for communication, data analysis, and presentation creation.

Educational Background

Minimum Education:

Experience Requirements

  • A valid driver's license and willingness to travel extensively (up to 50-70% of the time) is often required.
