Core Responsibilities
Primary Functions
- Proactively manage and maintain the Producer's extremely demanding and fluid calendar, scheduling a high volume of meetings, calls, and appointments across multiple time zones.
- Act as the primary gatekeeper, fielding and rolling a heavy volume of calls with professionalism, discretion, and an understanding of industry players.
- Coordinate complex domestic and international travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries.
- Read and provide detailed, insightful script coverage and creative feedback on a wide range of submitted materials, including scripts, books, and articles.
- Meticulously track all incoming creative submissions and project statuses using a detailed tracking grid or database.
- Conduct in-depth research for projects in development, compiling information on historical events, public figures, intellectual property, and potential talent.
- Liaise professionally with high-level executives, agents, managers, writers, directors, and other key industry figures.
- Prepare and distribute essential materials for meetings, including agendas, project updates, creative documents, and research briefs.
- Manage and process expense reports, purchase orders, and invoices in a timely and accurate manner.
- Take detailed, organized notes during creative, development, and production meetings, and ensure prompt distribution and follow-up on action items.
- Maintain and update a comprehensive database of industry contacts, including agents, executives, talent, and crew.
- Handle confidential and sensitive information with the utmost discretion and integrity.
Secondary Functions
- Support ad-hoc data requests and exploratory data analysis.
- Contribute to the organization's data strategy and roadmap.
- Collaborate with business units to translate data needs into engineering requirements.
- Participate in sprint planning and agile ceremonies within the data engineering team.
- Assist in the creation of pitch decks, sizzle reels, and other presentation materials for new projects.
- Provide on-the-ground support during production phases, which may include occasional work on set.
- Help coordinate aspects of post-production, such as scheduling reviews for VFX, sound mixing, or color grading.
- Assist with film festival submissions, tracking deadlines, and preparing required materials.
- Handle personal tasks and errands for the Producer to enable their full focus on business priorities.
- Track emerging talent (writers, directors, actors) and significant industry trends to identify new opportunities.
- Offer creative input during brainstorming sessions and contribute to the development slate.
- Coordinate with marketing and publicity teams during a film's release cycle.
- Manage office supply inventory and oversee general office organization and efficiency.
Required Skills & Competencies
Hard Skills (Technical)
- Script Coverage: Proven ability to read, analyze, and write concise, insightful coverage on scripts and other literary material.
- Industry Software: Proficiency or strong familiarity with Final Draft; knowledge of Movie Magic Scheduling or Budgeting is a major plus.
- Office & Cloud Suites: Expert-level command of Google Workspace (Gmail, Calendar, Drive) and/or Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Presentation Design: Experience using Keynote, PowerPoint, or Adobe InDesign to create visually compelling pitch decks and presentations.
- Research Tools: Skilled in using industry resources like IMDbPro, Variety Insight, and general web research for project and talent vetting.
