Core Responsibilities

Primary Functions

  • Provide comprehensive and compassionate one-on-one counseling to prospective and current students and their families regarding all aspects of the financial aid process, including application procedures, eligibility requirements, and available funding options (federal, state, institutional, and private).
  • Meticulously review and process Free Applications for Federal Student Aid (FAFSA), CSS Profile applications, and other institutional aid forms to accurately determine student financial need.
  • Skillfully perform federal verification for selected student applications, collecting and evaluating required documentation such as tax transcripts, W-2s, and verification worksheets to ensure data accuracy and resolve conflicting information.
  • Develop, package, and revise financial aid awards for new and continuing students in accordance with federal, state, and institutional policies, ensuring the most strategic and beneficial use of available funds.
  • Exercise professional judgment on a case-by-case basis to adjust student data elements used in need analysis for families with special or unusual financial circumstances, documenting all decisions thoroughly.
  • Manage and administer specific financial aid programs, such as Federal Work-Study, Federal Direct Loans (Subsidized and Unsubsidized), PLUS Loans, and various state grant and institutional scholarship programs.
  • Conduct engaging and informative financial aid presentations and workshops for various audiences, including high school students, admitted students, and community organizations, to promote financial literacy and awareness.
  • Diligently monitor and advise students on Satisfactory Academic Progress (SAP) standards, process SAP appeals, and develop academic plans to help students regain aid eligibility.
  • Calculate and process the Return of Title IV (R2T4) funds for students who withdraw from the institution, ensuring precise and timely compliance with complex federal regulations.
  • Stay abreast of all changes and updates to federal Title IV and state financial aid regulations, actively participating in professional development and training to ensure institutional compliance.
  • Collaborate effectively with other campus departments, including Admissions, Registrar, and the Bursar's Office, to provide a seamless and supportive student service experience.
  • Certify private educational loans and counsel students on responsible borrowing, debt management strategies, and loan repayment options to foster long-term financial wellness.
  • Resolve complex processing issues, including C-Flags, Pell LEU alerts, and NSLDS discrepancies, by working directly with students and federal agencies.
  • Maintain accurate and confidential student financial aid records within the student information system (e.g., Banner, Colleague, PeopleSoft), ensuring data integrity and security.
  • Assist in the reconciliation of federal and state financial aid program funds to ensure fiscal accountability and prepare for annual audits.
  • Award and monitor institutional and endowed scholarships, working with advancement and academic departments to ensure proper recipient selection and stewardship.
  • Provide exceptional customer service via phone, email, and in-person meetings, addressing inquiries and concerns with professionalism, patience, and accuracy.
  • Participate in the development and updating of office policies, procedures, and consumer information materials to improve efficiency and clarity for students.
  • Represent the financial aid office at university recruitment events, orientation sessions, and other on-campus and off-campus programs.
  • Manage a specific caseload of students, serving as their primary point of contact for all financial aid matters from application to graduation.

Secondary Functions

  • Support internal, state, and federal audit requests by compiling, reviewing, and providing accurate data and documentation.
  • Contribute to the development and enhancement of the institution's financial literacy programming for students.
  • Collaborate with the IT department to test and implement updates to the financial aid management software and student portal.
  • Participate in cross-functional committees and task forces aimed at improving the overall student experience and retention.

Required Skills & Competencies

Hard Skills (Technical)

  • Deep expertise in Title IV, state, and institutional financial aid regulations, including need analysis, verification, award packaging, and R2T4 calculations.
  • Proficiency in using student information systems (SIS) and financial aid management software such as Ellucian Banner, Colleague, PeopleSoft, or PowerFAIDS.
  • Experience processing applications through federal and third-party systems like the Common Origination and Disbursal (COD) system, NSLDS, and FAA Access to CPS Online.
  • Strong proficiency in the Microsoft Office Suite, particularly Excel, for data analysis, tracking, and reporting.
  • Knowledge of need-analysis methodologies (Federal Methodology and Institutional Methodology) and their application.
  • Ability to accurately interpret and apply complex federal regulations and institutional policies.
