Core Responsibilities

Primary Functions

  • Manage the end-to-end accounts payable process, including processing vendor invoices, verifying approvals, coding expenses to the correct GL accounts, and executing timely payments.
  • Oversee the accounts receivable cycle by generating and sending customer invoices, tracking payments, and diligently following up on overdue accounts to optimize cash flow.
  • Perform daily and monthly bank reconciliations for multiple accounts to ensure all transactions are accurately recorded and discrepancies are promptly investigated and resolved.
  • Prepare and post journal entries with appropriate supporting documentation to maintain the accuracy and integrity of the general ledger.
  • Assist in the month-end, quarter-end, and year-end closing processes, including preparing accruals, deferrals, and reconciliation schedules.
  • Meticulously review and process employee expense reports, ensuring compliance with company travel and expense policies before reimbursement.
  • Generate and distribute standard financial reports, such as income statements, balance sheets, and cash flow statements, for management review.
  • Actively monitor and track project budgets and departmental spending, reporting on variances and providing insights to budget holders.
  • Support the annual budgeting and periodic forecasting processes by gathering data, preparing schedules, and assisting with financial modeling.
  • Maintain a highly organized system of financial records and documentation, ensuring easy retrieval and compliance with audit and record-retention policies.
  • Serve as a primary point of contact for vendor and client inquiries related to billing, payments, and account status, providing exceptional customer service.
  • Ensure all financial activities and reporting are in strict compliance with GAAP and internal company policies and procedures.
  • Administer corporate credit card programs, including reconciling statements, tracking receipts, and enforcing usage policies.
  • Create, track, and manage purchase orders from initiation to closure, ensuring alignment with approved budgets and procurement policies.
  • Analyze financial data to identify trends, anomalies, and opportunities for cost savings or process improvements.

Secondary Functions

  • Provide critical support during internal and external audits by preparing requested schedules, pulling documentation, and answering inquiries.
  • Assist in the development, implementation, and refinement of financial policies, procedures, and internal controls to enhance efficiency and accuracy.
  • Collaborate with cross-functional teams, such as Operations and HR, to ensure seamless financial integration and support for their initiatives.
  • Participate in the implementation and optimization of financial software and ERP systems, including testing and user training.
  • Prepare ad-hoc financial analysis, reports, and special projects as requested by senior finance leadership to support strategic decision-making.

Required Skills & Competencies

Hard Skills (Technical)

  • Advanced MS Excel Proficiency: Demonstrated ability to use advanced functions, including VLOOKUP, SUMIF, pivot tables, and complex formulas for data analysis and reporting.
  • ERP & Accounting Software: Hands-on experience with major ERP systems (e.g., SAP, Oracle, NetSuite) and accounting software (e.g., QuickBooks, Xero, Bill.com).
  • GAAP Knowledge: Solid understanding of Generally Accepted Accounting Principles and their practical application in a corporate environment.
  • Financial Reporting: Proven ability to prepare, review, and analyze standard financial statements (P&L, Balance Sheet, Cash Flow).
  • Reconciliation: Expertise in performing complex account and bank reconciliations with a high degree of accuracy.
  • Budgeting & Forecasting: Familiarity with the principles and processes of corporate budgeting, forecasting, and variance analysis.
