Core Responsibilities

Primary Functions

  • Analyze complex datasets from telematics systems, fuel cards, and maintenance logs to identify trends in driver behavior, vehicle health, and fuel consumption.
  • Develop, maintain, and distribute comprehensive reports and interactive dashboards on key fleet metrics (KPIs), including cost per mile, utilization, downtime, and safety incidents.
  • Strategically manage the entire vehicle lifecycle, from conducting needs analysis and vehicle selection to coordinating procurement, upfitting, and timely disposal to maximize total cost of ownership.
  • Conduct in-depth Total Cost of Ownership (TCO) analysis to guide vehicle replacement strategies, new model selection, and alternative fuel vehicle (AFV/EV) feasibility studies.
  • Oversee and optimize preventative maintenance programs, ensuring schedules are met and collaborating with maintenance vendors to control repair costs and maximize vehicle uptime.
  • Ensure unwavering compliance with all Department of Transportation (DOT), federal, state, and local regulations, managing vehicle registrations, permits, and IFTA reporting.
  • Administer the corporate fuel card program, performing regular audits to detect fraud or misuse and negotiating with providers to secure favorable terms.
  • Serve as the primary analytical contact for third-party vendors, including leasing companies, maintenance providers, and telematics suppliers, to ensure service level agreements (SLAs) are met.
  • Proactively identify and champion process improvement initiatives designed to enhance fleet efficiency, streamline workflows, and generate significant cost savings.
  • Assist in the development and management of the annual fleet budget, providing detailed forecasting for fuel, maintenance, tolls, and capital expenditures.
  • Lead the analytical investigation of vehicle accidents and safety events, compiling data for insurance claims and developing preventative safety measures.
  • Maintain the integrity and accuracy of the Fleet Management Information System (FMIS), ensuring all vehicle, driver, and maintenance data is current and reliable.
  • Perform regular audits of fleet operational processes to guarantee adherence to internal policies, safety protocols, and regulatory standards.
  • Develop compelling, data-driven business cases for strategic fleet initiatives, such as the adoption of new technology or changes in operational models.
  • Create and deliver insightful presentations to senior management, effectively communicating fleet performance, key trends, and actionable strategic recommendations.
  • Manage the complete lifecycle of vehicle titles, registrations, and licensing to ensure every asset in the fleet is legally compliant and ready for operation.
  • Analyze maintenance work orders and parts inventory data to refine repair strategies, reduce parts-related costs, and minimize vehicle downtime.
  • Provide robust analytical support for contract negotiations with OEMs, leasing partners, and service providers by supplying data-driven insights on performance and cost.
  • Design and monitor driver performance scorecards and safety programs by leveraging telematics data to promote safe driving habits and reduce risk.
  • Meticulously track, code, and audit all fleet-related invoices and purchase orders, ensuring precise cost allocation and budget adherence.
  • Generate and analyze sustainability reports, tracking key environmental metrics such as CO2 emissions, idle time, and fuel economy to support corporate green initiatives.

Secondary Functions

  • Support ad-hoc data requests and exploratory data analysis from various business stakeholders.
  • Contribute to the organization's data strategy and roadmap by identifying new data sources and analytical opportunities.
  • Collaborate with business units to translate data needs into engineering requirements for our data platform.
  • Participate in sprint planning and agile ceremonies within the data and operations teams.

Required Skills & Competencies

Hard Skills (Technical)

  • Advanced Microsoft Excel: Mastery of pivot tables, VLOOKUP/INDEX-MATCH, complex formulas, and data modeling is essential.
  • Data Visualization & BI Tools: Proven experience creating dashboards and reports in tools like Tableau, Power BI, or Google Data Studio.
  • SQL Proficiency: Ability to write and execute complex queries to extract, manipulate, and analyze data from relational databases.
  • Fleet Management Software: Hands-on experience with at least one major Fleet Management Information System (FMIS) such as Geotab, Samsara, Fleetio, or Element.
  • Telematics Data Analysis: Deep understanding of how to interpret and derive insights from vehicle telematics data (GPS, engine diagnostics, driver behavior).
  • Financial Acumen: Strong ability to perform cost-benefit analysis, TCO calculations, budgeting, and financial forecasting.
  • Regulatory Knowledge: Solid understanding of transportation regulations, including DOT, FMCSA, IFTA, and CARB.
  • Data Mining & Statistical Analysis: Experience using statistical methods to identify patterns, correlations, and trends in large datasets.
  • Vendor Management: Ability to manage relationships and performance of third-party service providers.
  • Project Management: Skills to manage multiple initiatives simultaneously from conception to completion.

Education & Experience

Educational Background

Minimum Education:

  • Bachelor's Degree from an accredited university or college.

Preferred Education:

  • Master's Degree or a professional certification such as Certified Automotive Fleet Manager (CAFM).

Experience Requirements

Typical Experience Range:

  • Direct experience within the transportation, logistics, vehicle leasing, or a related industry with a large vehicle fleet.
  • Demonstrable experience working directly with telematics platforms (e.g., Geotab, Samsara) and analyzing their outputs to drive business decisions.
