Core Responsibilities

Primary Functions

  • Proactively develop and maintain a robust portfolio of client relationships by identifying and sourcing new shipper leads through cold calling, networking, and industry research.
  • Act as the primary point of contact for shippers, providing exceptional customer service and consultative support to understand their unique transportation and logistics needs.
  • Negotiate competitive freight rates and contract terms with both new and existing clients to ensure profitability and drive customer satisfaction.
  • Utilize load boards (like DAT, Truckstop), Transportation Management Systems (TMS), and internal databases to source and qualify reliable carriers for available freight.
  • Cultivate and strengthen relationships with a network of motor carriers, ensuring they meet all safety, insurance, and performance standards.
  • Expertly negotiate spot and contract rates with carriers for FTL, LTL, and intermodal shipments, balancing client budget requirements with fair market carrier compensation.
  • Manage the entire lifecycle of a shipment, from initial booking and dispatching to final delivery, ensuring all logistical details are meticulously handled.
  • Provide real-time, proactive tracking and tracing of all shipments, communicating status updates, ETAs, and potential delays to clients and stakeholders promptly.
  • Serve as the frontline problem-solver for any in-transit issues, including delays, rerouting, breakdowns, or freight damage, coordinating effective solutions between the shipper and carrier.
  • Ensure all necessary shipping documentation, such as Bills of Lading (BOL), rate confirmations, and Proof of Delivery (POD), is accurate and processed correctly.
  • Manage customer and carrier accounts, including invoicing support, payment inquiries, and resolving any billing discrepancies in a timely and professional manner.
  • Stay current on market trends, seasonality, and capacity fluctuations within the transportation industry to provide insightful advice to clients and make strategic booking decisions.
  • Collaborate with internal sales and operations teams to develop strategic solutions for complex supply chain challenges and high-volume accounts.
  • Onboard new motor carriers by thoroughly verifying MC authority, insurance certificates, and safety ratings to ensure compliance with company and federal regulations.
  • Accurately enter and maintain all load information, customer data, and carrier details within the company's Transportation Management System (TMS).
  • Generate and analyze reports on key performance indicators (KPIs) such as gross margin, on-time performance, and client/carrier retention.
  • Conduct regular business reviews with key clients to assess satisfaction, identify new opportunities, and reinforce the value of the partnership.
  • Source and secure capacity for various modes of transport, including Dry Van, Refrigerated (Reefer), Flatbed, and other specialized equipment.
  • Mediate and assist in resolving freight claims, working with all parties to gather documentation and facilitate a fair and timely resolution.
  • Continuously build industry knowledge to act as a trusted logistics advisor, helping clients optimize their supply chain and reduce overall transportation costs.

Secondary Functions

  • Contribute to team meetings by sharing valuable market insights, carrier feedback, and successful sales strategies.
  • Assist in the training and mentoring of new agents, dispatchers, or logistics coordinators.
  • Participate in the development and beta testing of new features for the company's proprietary TMS software.
  • Support accounting and billing departments with freight payment auditing and resolution of aging receivables.

Required Skills & Competencies

Hard Skills (Technical)

  • TMS Proficiency: Expertise in using Transportation Management Systems (e.g., McLeod, MercuryGate, TMW, AscendTMS).
  • Load Board Mastery: Advanced skills in navigating and utilizing load boards such as DAT and Truckstop.com for sourcing and posting.
  • Mode Knowledge: Strong understanding of FTL (Full Truckload), LTL (Less-Than-Truckload), and Intermodal shipping processes.
  • Rate Negotiation: Proven ability to analyze market rates, negotiate pricing with both customers and carriers, and protect margin.
  • Sales & Prospecting: Competency in cold calling, lead generation, and CRM software (e.g., Salesforce) to manage a sales pipeline.
  • Regulatory Awareness: Familiarity with FMCSA/DOT regulations, Hours of Service (HOS), and transportation compliance requirements.
  • Microsoft Office Suite: Proficiency in MS Excel for tracking data, creating reports, and analyzing profitability.

Typical Experience Range:
