Core Responsibilities
Primary Functions
- Plan and coordinate the daily scheduling of inbound and outbound freight, including Full Truckload (TL), Less-Than-Truckload (LTL), and intermodal shipments.
- Act as the primary point of contact for carriers, providing detailed load information, negotiating rates, and confirming capacity.
- Utilize Transportation Management Systems (TMS) and other logistics software to tender loads, track shipments, and manage data.
- Proactively monitor all active shipments from pickup to delivery, identifying potential delays and implementing corrective actions to ensure on-time performance.
- Communicate shipment status, delays, and other critical updates to customers and internal stakeholders in a clear and timely manner.
- Skillfully optimize freight routes and carrier selection to minimize transportation costs and maximize efficiency and service levels.
- Resolve complex logistical issues, including equipment failures, missed appointments, and freight claims, with a sense of urgency and professionalism.
- Build and maintain strong, collaborative relationships with a network of approved carriers to ensure reliable and consistent capacity.
- Prepare, verify, and manage all necessary shipping documentation, such as Bills of Lading (BOL), proof of delivery, and customs paperwork.
- Schedule pickup and delivery appointments with warehouses, distribution centers, and consignees, ensuring adherence to facility requirements.
- Audit carrier freight invoices for accuracy, disputing discrepancies and ensuring timely payment processing.
- Continuously evaluate carrier performance based on key metrics like on-time delivery, communication, and cost-effectiveness.
- Analyze transportation data and key performance indicators (KPIs) to identify trends, cost-saving opportunities, and areas for process improvement.
- Ensure all transportation activities comply with Department of Transportation (DOT) regulations and company safety policies.
- Manage the entire order-to-delivery lifecycle, providing end-to-end visibility and accountability for every shipment.
- Provide exceptional customer service, addressing inquiries, providing quotes, and serving as a trusted transportation expert.
- Collaborate with sales and account management teams to understand customer needs and develop tailored transportation solutions.
- Balance freight lanes and coordinate backhauls to reduce empty miles and improve fleet or network utilization.
Secondary Functions
- Support ad-hoc data requests and exploratory analysis to answer critical questions about carrier performance and network efficiency.
- Assist the sales team by providing accurate freight quotes and estimated transit times for prospective business.
- Contribute to continuous improvement projects aimed at enhancing logistics processes, systems, and standard operating procedures.
- Participate in the onboarding and training of new team members on scheduling protocols, system usage, and company policies.
Required Skills & Competencies
Hard Skills (Technical)
- TMS Proficiency: Demonstrated expertise in using Transportation Management Systems (TMS) such as McLeod, TMW Suite, MercuryGate, or Oracle Transportation Management.
- Freight Mode Knowledge: Deep understanding of various freight modes including Truckload (TL), Less-Than-Truckload (LTL), Intermodal, and Parcel.
- Route & Load Optimization: Proven ability to use routing software and load planning tools to create efficient and cost-effective shipment plans.

Experience Requirements
