Core Responsibilities

Primary Functions

  • Manage the complete lifecycle of domestic and international shipments, including LTL, FTL, ocean, and air freight, from booking to final delivery.
  • Proactively track and trace all in-transit shipments, providing real-time status updates and ETAs to clients and internal stakeholders.
  • Source, qualify, and negotiate with freight carriers and forwarders to secure optimal transportation rates and ensure high service levels.
  • Prepare, verify, and manage all required shipping and customs documentation, such as Bills of Lading (BOL), packing lists, commercial invoices, and shipper's letters of instruction (SLI).
  • Serve as the primary operational point of contact for customers, carriers, and warehouse partners, addressing inquiries and resolving issues promptly.
  • Expertly utilize Transportation Management Systems (TMS) and other logistics software to tender loads, monitor execution, and capture critical shipment data.
  • Diligently resolve any in-transit exceptions, including delays, damages, or customs holds, by coordinating with all involved parties to find a swift solution.
  • Ensure all transportation activities adhere to company policies and are in full compliance with relevant regulations (e.g., DOT, FMCSA, IATA, IMO).
  • Build and foster strong, long-term relationships with a core group of carriers to ensure capacity and reliable service.
  • Analyze transportation spend and carrier performance data to identify trends, drive cost-saving initiatives, and improve operational efficiency.
  • Provide accurate and timely freight quotes to the sales and customer service departments to support business development efforts.
  • Coordinate pickup and delivery schedules with shippers and consignees to ensure smooth and efficient loading and unloading operations.
  • Manage the freight claims process for lost or damaged cargo, from initial filing and documentation to final resolution and settlement.
  • Optimize load planning and consolidation of shipments to maximize equipment utilization and minimize transportation costs.
  • Onboard new carriers by verifying authority, insurance, and safety ratings to ensure they meet company standards.

Secondary Functions

  • Assist the finance department in auditing and processing freight invoices, verifying accuracy and disputing any discrepancies.
  • Participate in quarterly business reviews (QBRs) with key carriers to discuss performance metrics, challenges, and opportunities for improvement.
  • Contribute to the development and continuous improvement of logistics processes and Standard Operating Procedures (SOPs).
  • Support sales and account management teams by providing insights on market conditions, transit times, and routing solutions.
  • Generate and present regular reports on key logistics KPIs, such as on-time performance, cost per shipment, and carrier reliability.
  • Stay informed on logistics industry trends, emerging technologies, and shifts in the freight market that could impact operations.

Required Skills & Competencies

Hard Skills (Technical)

  • Transportation Management System (TMS) Proficiency: Hands-on experience with at least one major TMS platform (e.g., MercuryGate, Oracle OTM, Blue Yonder, SAP TM).
  • Rate Negotiation: Demonstrated ability to negotiate freight rates and contract terms with carriers across various modes of transport.
  • Logistics Documentation: Expertise in creating and managing critical shipping documents, including Bills of Lading, Commercial Invoices, and Proof of Delivery.
  • Mode-Specific Knowledge: Strong understanding of the operational nuances of Less-Than-Truckload (LTL), Full Truckload (FTL), Ocean (FCL/LCL), and Air Freight.
  • Regulatory Compliance: Working knowledge of transportation regulations, including DOT hours-of-service, weight limits, and hazardous materials (Hazmat) classifications.
  • Microsoft Office Suite: Advanced proficiency in Microsoft Excel for data analysis, reporting, and creating pivot tables.
  • Incoterms Knowledge: Familiarity with international commercial terms (Incoterms) for global trade and shipping.

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma or GED equivalent.

  • Associate's or Bachelor's Degree.

Experience Requirements

Typical Experience Range: 2-5 years of direct experience in freight brokerage, freight forwarding, or a corporate logistics/transportation role.

Preferred: Experience specializing in a specific mode (e.g., dedicated LTL, international air freight) or within a 3PL environment is highly desirable.
