Core Responsibilities

Primary Functions

  • Manage the end-to-end order lifecycle, from initial receipt in the ERP/WMS system through to picking, packing, and final shipment confirmation.
  • Act as the primary point of contact for all order-related inquiries from customer service, sales, and other internal departments, providing timely and accurate status updates.
  • Meticulously monitor inventory levels across multiple sales channels and warehouse locations to prevent stockouts and overselling situations.
  • Coordinate and schedule shipments with various freight and parcel carriers (e.g., UPS, FedEx, DHL, LTL carriers), ensuring compliance with shipping regulations and customer requirements.
  • Proactively identify, investigate, and resolve any shipping issues, such as delays, damages, or lost packages, by working directly with carriers and customers.
  • Process and manage customer returns (RMAs), including inspection, restocking, and coordinating refunds or exchanges with the finance and customer service teams.
  • Generate and analyze daily, weekly, and monthly fulfillment reports, tracking key performance indicators (KPIs) like on-time shipping, order accuracy, and shipping costs.
  • Maintain accurate and organized records of all orders, shipments, and transactions to ensure data integrity and support audit requirements.
  • Collaborate closely with the warehouse team to prioritize order picking and packing queues based on shipping deadlines, customer priority, and special handling instructions.
  • Oversee the fulfillment of special orders, including international shipments, wholesale accounts, and custom kitting projects, ensuring all specific documentation and packing needs are met.
  • Continuously review and optimize order fulfillment workflows to identify bottlenecks and implement process improvements that enhance efficiency and reduce costs.
  • Manage relationships with 3PL (Third-Party Logistics) partners, monitoring their performance and serving as the main liaison for operational activities.

Secondary Functions

  • Support the inventory control team with cycle counts and physical inventory audits, helping to reconcile discrepancies between physical stock and system records.
  • Assist in the onboarding and training of new warehouse associates on order processing systems, packing standards, and shipping procedures.
  • Contribute to the evaluation and implementation of new fulfillment technologies, such as warehouse management systems (WMS), shipping software, or automation tools.
  • Collaborate with the procurement team to communicate inventory needs and provide data on product movement to inform purchasing decisions.
  • Handle escalated customer issues related to fulfillment, providing clear communication and effective solutions to maintain customer satisfaction.
  • Prepare and manage all necessary shipping documentation for domestic and international orders, including bills of lading, commercial invoices, and customs forms.
  • Monitor and manage the supply levels for all shipping and packing materials, placing reorders as needed to prevent operational downtime.
  • Support ad-hoc data requests and exploratory analysis related to order volume, shipping trends, and operational performance.
  • Participate in cross-functional team meetings to represent the fulfillment department and provide insights on operational capacity and challenges.

Required Skills & Competencies

Hard Skills (Technical)

  • ERP/WMS Proficiency: Hands-on experience with Enterprise Resource Planning (ERP) and/or Warehouse Management Systems (e.g., NetSuite, SAP, ShipStation, Fishbowl).
  • Microsoft Excel: Advanced skills in Excel, including VLOOKUP, pivot tables, and data filtering for reporting and analysis.
  • Logistics & Shipping Software: Familiarity with major carrier portals (UPS WorldShip, FedEx Ship Manager) and multi-carrier shipping platforms.
  • Inventory Management: Strong understanding of inventory control principles, including cycle counting and stock reconciliation.
  • Data Analysis: Ability to interpret operational data and KPIs to identify trends and areas for improvement.
  • Order Management Systems (OMS): Experience processing and managing orders within an integrated OMS environment.
