Core Responsibilities
Primary Functions
- Conduct thorough in-gate and out-gate inspections of intermodal containers, chassis, and trailers to identify and document any structural damage, ensuring compliance with IICL, AAR, and company-specific criteria.
- Accurately and efficiently input all transaction data into the Terminal Operating System (TOS) or Yard Management System (YMS) in real-time using handheld scanners and desktop computer terminals.
- Verify the identity of drivers and trucking companies against system data, ensuring all personnel have authorized access to the facility before granting entry or exit.
- Meticulously check and record container numbers, chassis numbers, and license plate information, ensuring a perfect match with booking, dispatch, and customs information.
- Inspect and verify the integrity and serial number of container seals, documenting any discrepancies, damage, or signs of tampering in accordance with C-TPAT and other security protocols.
- Validate all shipping documentation, including Bills of Lading (BOL), interchange receipts (EIRs), and customs paperwork, for accuracy and completeness to authorize cargo movement.
- Communicate effectively and professionally with truck drivers to provide clear instructions, answer inquiries, and resolve any issues related to their documentation or equipment.
- Direct truck drivers to appropriate locations within the yard, such as specific container stacks, loading docks, or repair areas, to ensure a safe and efficient flow of traffic.
- Assess and classify equipment damage, accurately noting all defects and inputting this information into the system for maintenance tracking and potential billing.
- Identify and confirm correct placarding for containers carrying hazardous materials (HAZMAT), ensuring full compliance with DOT and international safety regulations.
- Operate automated gate systems, barriers, and communication equipment to control the safe entry and exit of all commercial vehicles.
- Generate and provide drivers with accurate Equipment Interchange Receipts (EIRs) that serve as a legal document detailing the condition of the equipment and the time of the transaction.
- Enforce all terminal safety rules and security policies without exception, immediately reporting any violations, suspicious activities, or potential threats to a supervisor or security personnel.
- Perform critical safety checks on chassis components, including tires, lights, brakes, and landing gear, to ensure all equipment is roadworthy before leaving the facility.
- Manage and direct the queue and flow of vehicular traffic at the gate complex to prevent congestion and minimize truck turn-around times.
- Capture high-quality digital photographs of equipment damage, container seals, and other relevant details as required for claims processing and dispute resolution.
- Liaise with yard planners, dispatchers, and customer service teams to troubleshoot and resolve complex gate issues, such as booking errors or equipment availability problems.
- Provide exceptional customer service to drivers and carriers, maintaining a professional and courteous demeanor in a high-pressure, fast-paced environment.
- Monitor CCTV feeds of the gate area to maintain situational awareness and assist in the investigation of any incidents.
- Assist in training new Gate Inspectors, providing hands-on guidance regarding procedures, system usage, and inspection standards.
Secondary Functions
- Assist in managing traffic flow and directing vehicles within the gate and adjacent yard areas to prevent congestion.
- Conduct routine checks and light maintenance on gate equipment, including scanners, printers, and communication devices, to ensure operational readiness.
- Participate in periodic safety drills and security training sessions to stay current with emergency procedures and protocols.
- Provide support to other terminal departments, such as equipment control or customer service, on an as-needed basis to resolve discrepancies.
Required Skills & Competencies
Hard Skills (Technical)
- Proficiency with Terminal Operating Systems (TOS) or Yard Management Systems (YMS) such as Navis, Tideworks, or similar proprietary software.
- Experience operating handheld data scanners, mobile computers, and two-way radios.
- Working knowledge of IICL (Institute of International Container Lessors) and/or AAR (Association of American Railroads) inspection criteria.
- Familiarity with container and chassis mechanics, including the ability to identify structural damage and common wear items.
- Strong data entry skills with a high degree of accuracy and speed.
- Understanding of transportation and shipping documentation (e.g., Bill of Lading, Equipment Interchange Receipt).
- Basic knowledge of DOT regulations and HAZMAT placarding requirements is a plus.

Education & Experience
Educational Background
Minimum Education:
- High School Diploma or GED equivalent.
Preferred Education:
- Associate's degree or certification in a relevant field.

Experience Requirements
Typical Experience Range: 1-3 years of relevant experience.
Preferred:
- Previous experience in a similar role at a marine terminal, rail yard, or large distribution center.
- Experience working in an outdoor environment and interacting directly with truck drivers.
- A valid Transportation Worker Identification Credential (TWIC) card is highly preferred and may be required.
