Core Responsibilities

Primary Functions

  • Coordinate and manage complex international meeting schedules across multiple time zones, including preparing agendas, distributing materials, and documenting meeting minutes and action items.
  • Arrange and manage comprehensive international travel itineraries, including booking flights, accommodations, ground transportation, and processing visa applications for team members and senior leadership.
  • Act as a central point of communication for the global team, ensuring the timely and accurate dissemination of information, updates, and key decisions to all relevant stakeholders.
  • Provide robust administrative and project management support for ongoing global initiatives, tracking project timelines, milestones, and deliverables using tools like Asana, Trello, or Jira.
  • Establish and maintain a systematic digital filing system for all project-related documents, contracts, and confidential information, ensuring accessibility and version control on platforms like SharePoint or Google Drive.
  • Process and track expense reports and invoices for the global team, ensuring compliance with company policies and timely reimbursement.
  • Assist in the onboarding process for new team members located in different global offices, coordinating IT setup, introductory meetings, and access to necessary resources.
  • Serve as a professional liaison between the Global Coordinator, internal departments, and external partners, clients, and vendors across different regions.
  • Support the planning and execution of global team off-sites, virtual conferences, and client-facing events, managing logistics from venue selection to attendee registration.
  • Assist in the preparation of high-quality presentations, reports, and dashboards for executive review by gathering data, creating visuals, and proofreading content.
  • Facilitate effective communication and collaboration among a culturally diverse team, demonstrating sensitivity and awareness of different cultural norms and business practices.
  • Monitor project and departmental budgets, tracking expenditures against allocated funds and flagging potential overruns to the Global Coordinator.
  • Coordinate with international vendors and suppliers, managing procurement processes, contract administration, and ensuring timely delivery of goods and services.
  • Ensure all administrative and coordination activities adhere to internal company policies as well as relevant international regulations and compliance standards.
  • Prepare and edit correspondence, communications, and other documents, maintaining a high standard of professionalism and accuracy.

Secondary Functions

  • Provide support for ad-hoc research projects and data gathering requests from the global leadership team to inform strategic initiatives.
  • Contribute to the continuous improvement of administrative processes and workflows by identifying inefficiencies and recommending practical solutions.
  • Collaborate with various business units such as HR, Finance, and Legal to ensure seamless coordination on cross-functional tasks.
