Core Responsibilities

Primary Functions

  • Serve as the primary point of contact for all members and guests, providing a warm, professional welcome and proactively addressing all inquiries and needs.
  • Manage the daily tee sheet with precision, including booking reservations, managing waitlists, and coordinating starting times to ensure an orderly pace of play.
  • Accurately and efficiently process customer transactions using the Point of Sale (POS) system for green fees, cart rentals, merchandise sales, and special event fees.
  • Execute all opening and closing procedures for the pro shop, which includes reconciling the cash drawer, preparing daily financial reports, and securing the facility.
  • Actively engage with customers to promote and sell pro shop merchandise, offering knowledgeable recommendations on apparel, equipment, and accessories to drive revenue.
  • Maintain the visual merchandising standards of the shop, ensuring displays are attractive, fully stocked, organized, and rotated according to promotional calendars.
  • Professionally answer a multi-line phone system, handling inquiries, directing calls to the appropriate staff, and taking detailed messages.
  • Communicate effectively and constantly with other golf operations staff, such as starters, rangers, and cart attendants, to manage player flow and enhance the on-course experience.
  • Inform players about current course conditions, local rules, course etiquette, and details of upcoming club events, leagues, or tournaments.
  • Assist with the entire lifecycle of inventory management, from receiving and checking in new merchandise to pricing, tagging, and displaying it on the sales floor.
  • Conduct regular physical inventory counts and cycle counts as directed by management to ensure accuracy and help minimize shrinkage.
  • Administer and manage special order requests for members and guests, ensuring timely placement of the order and proactive follow-up communication on its status.
  • Manage the logistics of the golf cart fleet, including key control, rental assignments, and coordinating with the cart barn staff for staging, cleaning, and maintenance.
  • Register players for club tournaments and member events, collecting all required entry fees and disseminating pertinent event information.
  • Uphold and enforce all club policies and procedures consistently and fairly, ensuring a safe, welcoming, and equitable environment for all patrons and staff.
  • Handle difficult situations and customer complaints with poise and professionalism, seeking to find a positive resolution while adhering to club policies.
  • Develop a comprehensive knowledge of all golf products and services offered by the facility to serve as a trusted resource for patrons.
  • Assist in the administration of the club's handicap system, including posting scores and educating members on proper procedures.

Secondary Functions

  • Support the Head Golf Professional or Tournament Coordinator with the administrative setup, on-site execution, and scoring of golf outings and tournaments.
  • Perform light cleaning and organizational tasks throughout the pro shop and adjacent areas to maintain a pristine and professional environment at all times.
  • Contribute ideas for shop promotions, sales events, and social media content to help drive customer engagement and retail sales.
  • Stay current with golf industry trends, new equipment releases, and apparel lines to enhance product knowledge and sales effectiveness.
  • Participate actively in staff meetings and continuous training sessions focused on customer service excellence, product knowledge, and operational efficiency.
  • Coordinate the drop-off and pick-up of clubs for repair services, such as re-gripping or re-shafting, ensuring clear communication between the member and the repair technician.

Required Skills & Competencies

Hard Skills (Technical)

  • POS System Operation: Proficiency with retail Point of Sale (POS) systems for sales, returns, and daily reporting.
  • Tee Sheet Management: Experience using golf-specific scheduling software (e.g., ForeTees, EZLinks, Chronogolf, Jonas).
  • Cash Handling: Competency in managing a cash drawer, processing credit card payments, and performing end-of-day reconciliation.
  • Inventory Control Basics: Understanding of receiving, pricing, and conducting cycle counts for retail merchandise.
