Core Responsibilities
Primary Functions
- Proactively manage and coordinate the Manager's complex and dynamic calendar, including scheduling high-level meetings, appointments, and public engagements while anticipating conflicts and prioritizing requests.
- Serve as the primary point of contact and gatekeeper for the Manager's office, professionally screening and directing telephone calls, emails, and in-person inquiries from internal staff, other agencies, and the public.
- Coordinate all aspects of domestic and international travel arrangements, including booking flights and accommodations, arranging ground transportation, and preparing detailed itineraries and background materials.
- Prepare, review, proofread, and edit a wide range of correspondence, reports, presentations, and official documents, ensuring accuracy, clarity, and adherence to government formatting standards.
- Organize and support internal and external meetings by preparing agendas, distributing relevant materials in advance, recording and transcribing official minutes, and diligently tracking action items to ensure completion.
- Facilitate seamless communication and information flow between the Manager's office, internal departments, external government agencies, and key public and private stakeholders.
- Conduct preliminary research and compile briefing notes on various policy issues, legislative updates, and stakeholder positions to ensure the Manager is fully prepared for meetings and presentations.
- Manage and process expense reports, purchase requisitions, and invoices in strict compliance with government procurement and financial regulations, ensuring timely and accurate submission.
- Develop and maintain a systematic and secure records management system for both physical and electronic files, ensuring the confidentiality, integrity, and easy retrieval of critical information.

- Prepare and assemble comprehensive briefing packages and materials for the Manager's review prior to all meetings, conferences, and official travel.
