Core Responsibilities
Primary Functions
- Act as the first point of contact for all inquiries from prospective students, providing detailed information about the program, curriculum, and application process via email, phone, and virtual meetings.
- Manage the entire graduate admissions lifecycle, from processing incoming applications and ensuring all required documents are received to preparing files for faculty review.
- Coordinate the admissions committee review process, including scheduling meetings, compiling applicant data, and communicating final decisions to candidates.
- Plan and execute key student-facing events, such as new student orientation, recruitment open houses, information sessions, and graduation celebrations.
- Serve as the main administrative resource for current graduate students, advising them on university policies, program requirements, registration, and deadlines.
- Maintain highly accurate and confidential student records within the university's Student Information System (SIS), tracking academic progress and milestones.
- Oversee all program-related communications, including drafting and distributing weekly newsletters, official announcements, and event reminders to students and faculty.
- Process a wide range of student academic forms, such as course registrations, add/drop requests, petitions for leave of absence, and applications to graduate.
- Liaise effectively with central university offices, including the Registrar, Bursar, Financial Aid, and International Student Services, to resolve student issues.
- Monitor student progress toward degree completion, conducting regular audits to ensure all requirements are being met in a timely manner.
- Provide comprehensive administrative support to the Graduate Program Director, including managing their calendar, scheduling high-level meetings, and preparing necessary materials.
- Assist students with navigating the processes for securing funding, including teaching assistantships, research fellowships, and other graduate-level awards.
- Develop and distribute marketing materials for program recruitment, collaborating with the communications team to enhance the program's visibility.
Secondary Functions
- Assist the Program Director with tracking program budgets, processing expense reports, and handling financial paperwork and reimbursements for faculty and students.
- Maintain and update the program's section of the university website with current information on curriculum, faculty, and events, and contribute to departmental social media channels.
- Generate routine and ad-hoc reports on key program metrics like application numbers, enrollment trends, and student demographics to support departmental decision-making.
- Provide logistical and administrative support for faculty search committees, including scheduling interviews and managing candidate travel arrangements.
- Coordinate logistics for departmental seminars, workshops, and guest speaker visits, including room bookings, catering, and technical support.
- Take, prepare, and distribute minutes for departmental and program-related committee meetings to ensure accurate record-keeping.
