Primary Functions
- Act as the primary liaison and dedicated point of contact for group leaders and clients from the initial inquiry stage through to post-trip or post-event follow-up.
- Skillfully manage the entire group booking process, including gathering detailed requirements, creating customized itineraries, and securing all necessary arrangements.

- Develop and maintain strong, collaborative relationships with a network of external vendors, including hotels, airlines, transportation companies, and tour operators, to ensure favorable rates and excellent service.
- Proactively identify and pursue opportunities to upsell or cross-sell additional services, such as special tours, activities, private dinners, or travel insurance, to enhance the group experience and drive revenue.
- Expertly handle all financial aspects of group accounts, including processing deposits, managing payment schedules, ensuring accurate invoicing, and resolving any billing discrepancies.
- Maintain impeccable and detailed records of all client communications, contracts, and booking details within the company’s CRM or reservation system.
- Provide on-the-spot, creative problem-solving for any issues, challenges, or last-minute changes that may arise before, during, or after the group's travel or event.
- Liaise effectively with internal departments (such as Sales, Front Office, Catering, and Operations) to ensure all teams are aligned and prepared for the group's arrival and specific needs.
- Craft and distribute professional and informative pre-arrival communications, including detailed itineraries, rooming lists, and welcome packets, to ensure group leaders are well-informed.
- Conduct professional and persuasive site inspections and property tours for potential clients, showcasing the facilities and services available for their group.
