Core Responsibilities

Primary Functions

  • ATF Compliance & Record Keeping: Meticulously maintain and update the Acquisition and Disposition (A&D) "bound book," ensuring 100% accuracy and compliance with all Bureau of Alcohol, Tobacco, Firearms and Explosives (ATF) regulations.
  • Transaction Processing: Accurately process all ATF Form 4473s for firearm transfers, conduct NICS background checks, and ensure all required documentation is flawlessly completed, verified, and filed according to strict legal standards.
  • Inventory Management: Receive, inspect, and log all incoming firearms shipments, verifying serial numbers against shipping manifests and purchase orders, and securely storing them within the vault.
  • Order Fulfillment & Shipping: Prepare, package, and document all outgoing firearm shipments for store transfers, customer orders, or returns to manufacturers, ensuring full compliance with federal, state, and carrier regulations.
  • Cycle Counting & Auditing: Conduct regular, systematic cycle counts and physical inventories of all firearms and serialized items to reconcile physical stock with digital records, immediately investigating and resolving any discrepancies.
  • Vault Security & Access Control: Maintain strict control over access to the gun vault and other secure storage areas, ensuring only authorized personnel are granted entry and that all security protocols are followed without exception.
  • Discrepancy Resolution: Proactively identify, investigate, and report any inventory discrepancies, paperwork errors, or potential compliance issues to management and the compliance department in a timely and thorough manner.
  • Firearm Handling & Safety: Adhere to all established firearm safety rules and handling procedures at all times, setting the standard for safe practices within the facility.
  • Condition Assessment: Receive and process used firearms, accurately assessing their condition, functionality, and value for trade-ins or consignment, and documenting all relevant details.
  • Data Entry: Perform precise and timely data entry of all firearm information, including make, model, caliber, and serial number, into the point-of-sale (POS) and inventory management systems.
  • Audit Support: Act as a key point of contact and provide direct support during internal and external audits, including those conducted by the ATF, by retrieving records and demonstrating compliance procedures.
  • Layaway and Special Orders: Manage the firearms layaway, hold, and special-order programs, ensuring items are properly segregated, tracked, and processed according to company policy.
  • Returns Management: Process customer and vendor returns of firearms, ensuring all regulatory and company procedures for disposition are followed correctly, whether returning to stock, to the vendor, or for repair.
  • Record Retention: Manage the long-term storage and archival of all regulated paperwork, such as 4473s and A&D records, in accordance with federal retention requirements.

Secondary Functions

  • Vault Organization & Maintenance: Maintain the physical organization, cleanliness, and security infrastructure of the gun vault, including shelving, lighting, and climate control, to ensure a safe and efficient workspace.
  • Process Improvement: Identify and recommend improvements to vault operations, inventory control processes, and compliance procedures to enhance accuracy, security, and efficiency.
  • Training & Mentorship: Assist in training new team members, including sales associates, on proper firearm handling, paperwork procedures, and inventory protocols.
  • Collaboration with Sales Floor: Work closely with the sales team to ensure firearms are properly moved from the vault to the sales floor display and back, maintaining a clear chain of custody.
  • Supply Management: Monitor and maintain an adequate stock of necessary supplies for vault operations, including shipping materials, logging forms, and compliance-related materials.
  • Incident Reporting: Document and report any security-related incidents, safety concerns, or attempted non-compliant transactions according to established company protocols.
  • System Maintenance Liaison: Serve as a point of contact for issues related to the inventory management system, POS software, or NICS E-Check system, reporting bugs or outages to the appropriate IT or support teams.
  • Stay Current on Regulations: Proactively stay informed about changes in federal, state, and local firearms laws and regulations to ensure continuous compliance.

Required Skills & Competencies
