Core Responsibilities

Primary Functions

  • Directly supervise and coordinate the daily activities of front desk staff, personal trainers, and fitness instructors to ensure smooth and efficient gym operations.
  • Develop and manage staff schedules to guarantee adequate coverage for all shifts, classes, and peak hours while effectively managing labor costs.
  • Act as the primary point of contact for member feedback, inquiries, and complaints, resolving issues promptly and professionally to maintain high levels of member satisfaction and retention.
  • Conduct regular, thorough facility walkthroughs to ensure the highest standards of cleanliness, safety, and organization are maintained across all areas, including the gym floor, locker rooms, and common spaces.
  • Enforce all gym policies and procedures consistently and fairly among both members and staff to create a safe, respectful, and inclusive environment for everyone.
  • Train, onboard, and provide ongoing coaching to new and existing team members, focusing on customer service standards, operational protocols, and sales techniques.
  • Perform regular inspections of all fitness equipment, promptly reporting any malfunctions or safety hazards and coordinating with maintenance vendors for timely repairs.
  • Manage the opening and closing procedures of the facility, ensuring all security, cash handling, and end-of-day reporting tasks are completed accurately.
  • Assist the Gym Manager with membership sales initiatives, including giving engaging facility tours to prospective members and clearly explaining membership options to drive revenue growth.
  • Monitor and manage inventory levels for retail products, cleaning supplies, and office materials, placing orders as needed to prevent stock shortages.
  • Lead pre-shift team meetings to communicate daily goals, promotions, and any important operational updates to keep the team aligned and motivated.
  • Handle emergency situations, such as medical incidents or facility alarms, by following established protocols, administering first aid/CPR/AED when necessary, and completing detailed incident reports.
  • Process and approve staff timesheets for payroll, ensuring accuracy in hours worked and adherence to labor laws and company policies.
  • Uphold the brand's service culture by actively engaging with members on the gym floor, building strong rapport, and fostering a vibrant sense of community.
  • Collaborate with the management team to develop and implement strategies for improving member engagement, such as fitness challenges, social events, and educational workshops.
  • Oversee the point-of-sale (POS) system, including cash drawer reconciliation, transaction processing, and troubleshooting minor technical issues.
  • Provide constructive performance feedback and conduct informal evaluations for team members, identifying areas for development and recognizing outstanding performance.
  • Ensure all staff members maintain required certifications (e.g., CPR/AED, personal training) and are up-to-date with their professional credentials.
  • Generate and analyze daily and weekly operational reports on membership numbers, sales, and facility usage to identify trends and inform strategic decision-making.
  • Serve as the Manager on Duty in the absence of the Gym Manager, assuming full responsibility for the facility's operations and team performance.
  • Actively promote personal training packages and other gym services to members, connecting them with the appropriate trainers or programs to help them reach their fitness goals.
  • Coordinate with group fitness instructors to ensure class schedules are accurate, substitutions are arranged when needed, and class descriptions are appealing and up-to-date.

  • Assist the marketing team in promoting gym events and special offers through in-club signage and social media content creation.
  • Represent the gym at local community events or health fairs to increase brand awareness and generate new membership leads.
