Core Responsibilities

Primary Functions

  • Manages the patient check-in and registration process, greeting patients and families with a professional and compassionate demeanor upon their arrival to the unit or department.
  • Accurately collects and enters comprehensive patient demographic, financial, and insurance information into the Electronic Health Record (EHR) system, ensuring data integrity for billing and clinical purposes.
  • Verifies insurance eligibility and benefits, explains financial policies, and collects co-payments, deductibles, and outstanding balances at the time of service.
  • Skillfully manages a multi-line telephone system, answering incoming calls, screening and directing inquiries to the appropriate clinical staff, and taking detailed messages.
  • Schedules, coordinates, and confirms patient appointments, diagnostic tests, and surgical procedures, navigating complex schedules across multiple departments and providers.
  • Assembles new patient charts and meticulously maintains existing patient records (both electronic and physical), ensuring all documentation is filed correctly and is readily accessible to the clinical team.
  • Processes patient admissions, transfers, and discharges within the hospital's information system, completing all necessary administrative tasks and notifications.
  • Acts as a central communication hub, relaying critical information and patient requests between nurses, physicians, technicians, patients, and their families.
  • Transcribes physicians' orders with a high degree of accuracy, entering them into the computer system or communicating them to the appropriate care provider for execution.
  • Ensures all necessary patient consent forms and administrative paperwork are completed, signed, and scanned into the medical record in compliance with hospital policy.
  • Responds to patient call bell system, assesses the urgency of the need, and promptly relays requests for assistance to the appropriate nursing or clinical staff.

Secondary Functions

  • Prepares and breaks down patient medical records post-discharge, ensuring all documents are accounted for and routed to Health Information Management according to protocol.
  • Monitors, orders, and restocks an inventory of office supplies, printed forms, and essential unit-specific materials to prevent workflow disruptions.
  • Coordinates with other hospital support services, such as patient transport, housekeeping, and maintenance, to address unit and patient needs.
  • Prepares and maintains daily administrative reports, including the unit census, bed availability logs, and staff assignment sheets.
  • Handles the sorting and distribution of incoming/outgoing mail, faxes, and interdepartmental correspondence for the unit.
  • Assists in orienting and training new clerical staff by sharing knowledge of unit-specific procedures, systems, and workflows.
  • Safeguards patient confidentiality at all times by rigorously adhering to HIPAA regulations and hospital privacy policies in all forms of communication and document handling.

Required Skills & Competencies

Hard Skills (Technical)

  • EHR/EMR Proficiency: Hands-on experience with Electronic Health Record systems such as Epic, Cerner, Meditech, or other similar hospital information systems.
  • Medical Terminology: A strong working knowledge of common medical terms, acronyms, and procedures to ensure accurate communication and documentation.
  • Data Entry & Typing: High-speed and accurate typing skills for rapid and error-free entry of patient information and physician orders.
