Core Responsibilities

Primary Functions

  • Act as the primary point of contact for guests and participants, providing a warm, professional, and enthusiastic welcome to create a positive and memorable experience.
  • Guide groups through scheduled activities, workshops, or programs, clearly communicating the agenda, objectives, and ground rules to ensure a smooth and engaging flow.
  • Facilitate group discussions, brainstorming sessions, and team-building exercises, skillfully encouraging participation from all members and ensuring conversations remain productive and inclusive.
  • Proactively manage the energy and engagement of the group, demonstrating the flexibility to adapt facilitation techniques and activities in real-time to meet the group's needs.
  • Manage the end-to-end logistics of a space, including setting up and breaking down meeting rooms, workshop areas, and event venues with all necessary furniture, materials, and supplies.
  • Operate and provide basic troubleshooting for audio-visual equipment, including microphones, projectors, sound systems, and video conferencing hardware.
  • In a virtual setting, confidently manage online platforms (e.g., Zoom, Microsoft Teams, Google Meet), expertly handling features like breakout rooms, polls, chat moderation, and screen sharing.
  • Act as a neutral guide to help groups achieve their intended outcomes, adeptly managing time, keeping discussions on topic, and synthesizing key takeaways.
  • Address and de-escalate any issues, disruptions, or interpersonal conflicts that may arise, employing tact and diplomacy to maintain a positive and safe environment.
  • Serve as a knowledgeable ambassador for the organization, maintaining a deep understanding of its mission, services, and offerings to accurately answer inquiries.

Secondary Functions

  • Assist in the pre-event planning and coordination process, offering insights on participant experience, flow, and logistical needs.
  • Prepare, organize, and restock all necessary materials for sessions, such as name tags, handouts, workbooks, and interactive tools (e.g., sticky notes, markers).
  • Systematically gather and document participant feedback through formal surveys, informal conversations, and observation to contribute to the continuous improvement of programs and events.
  • Maintain the overall tidiness, organization, and professional appearance of the host environment or facility throughout the day.
  • Provide guided tours of the facility or campus, effectively highlighting key features, amenities, and the value of the space.
  • Document key decisions, action items, and critical insights generated during facilitated sessions for reporting and follow-up.
  • Act as a central liaison between participants and other internal teams (e.g., Catering, IT, Facilities) to ensure guest requests are fulfilled promptly and efficiently.
  • Manage the inventory of event and workshop supplies, tracking usage and placing orders to ensure materials are always available.
  • Enforce all health, safety, and security protocols, ensuring a secure and compliant environment for all staff and visitors.
  • Foster a genuine sense of community by actively engaging with participants, learning names, and facilitating connections between them.

  • Public Speaking & Presentation: Ability to command a room and clearly convey information to groups of varying sizes.
  • A/V Equipment Operation: Basic proficiency in setting up and troubleshooting common event technology like microphones, projectors, and speakers.
  • Virtual Facilitation Platforms: Expertise in using and managing tools like Zoom, Microsoft Teams, Miro, and MURAL for engaging online experiences.
  • Event Management Software: Familiarity with registration, check-in, or scheduling software (e.g., Eventbrite, Cvent).
  • Basic IT Troubleshooting: Ability to resolve common technical glitches related to Wi-Fi connectivity, computer displays, and software applications.

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma, GED, or equivalent work experience.

Experience Requirements

Typical Experience Range:
