Core Responsibilities

Primary Functions

  • Masterfully develop, manage, and distribute the master schedule for all on-air hosts, ensuring 100% coverage for all programming blocks, live shows, and special events.
  • Act as the central point of contact for all host availability, diligently tracking and managing vacation requests, sick leave, and personal days to prevent any gaps in on-air presence.
  • Liaise closely with producers and content managers to understand programming needs and strategically assign hosts to segments that best align with their expertise, style, and on-air chemistry.
  • Serve as the primary communications hub, ensuring any and all schedule adjustments are communicated clearly, accurately, and promptly to all relevant stakeholders, including hosts, producers, control room staff, and management.
  • Proactively manage and resolve scheduling conflicts by negotiating with talent and production teams, finding creative solutions to ensure production deadlines are met without compromising quality.
  • Coordinate the scheduling of pre-production activities for hosts, such as table reads, rehearsals, tech checks, and pre-interviews with guests.
  • Maintain a sophisticated and up-to-the-minute database of host contact information, availability preferences, contract stipulations, and areas of specialization.
  • Prepare and disseminate daily call sheets and detailed schedules, outlining specific timings, locations, and requirements for each host's assignments.
  • Handle the complex logistics for remote broadcasts, coordinating host travel, accommodation, and technical requirements to ensure a smooth off-site production.
  • Collaborate with the guest booking team to align host schedules with the availability of high-profile guests, sometimes managing the initial outreach and coordination.
  • Field and prioritize a high volume of inbound scheduling requests from various departments, demonstrating an ability to assess urgency and impact.
  • Track host hours and assignments for payroll and compliance purposes, preparing regular reports for the finance and HR departments.
  • Develop contingency plans and maintain a roster of fill-in hosts to be deployed immediately in case of last-minute cancellations or emergencies.
  • Build and nurture strong, positive relationships with on-air talent, acting as a trusted, reliable resource for all their scheduling-related needs and concerns.
  • Monitor competitor programming and talent usage to provide insights and strategic scheduling recommendations to the production leadership.
  • Assist in the onboarding of new hosts by providing comprehensive scheduling overviews, system training, and introductions to key production personnel.
  • Generate analytical reports on host utilization, scheduling patterns, and resource allocation to help management make data-driven decisions.
  • Manage the scheduling and booking of studio resources, green rooms, and other production facilities in conjunction with host assignments.
  • Participate in daily production meetings to provide scheduling updates, flag potential issues, and contribute to the overall planning process.
  • Uphold a high level of discretion and confidentiality when handling sensitive information related to talent contracts, personal matters, and unannounced programming.

  • Broadcast Management Systems: Familiarity with industry-specific software such as ENPS, iNews, WideOrbit, or similar broadcast scheduling and newsroom computer systems.
  • Project Management Tools: Competency in using platforms like Asana, Trello, or Jira to track tasks and manage workflows across teams.
  • MS Office / Google Workspace: High proficiency in Excel/Google Sheets for tracking, reporting, and creating complex scheduling grids.
