Core Responsibilities

Primary Functions

  • Meticulously review and interpret project blueprints, schematics, specifications, and other construction documents to fully understand the scope of work for HVAC systems.
  • Perform detailed quantity take-offs for all mechanical components, including ductwork, piping, insulation, fixtures, and associated equipment.
  • Utilize industry-standard estimating software (such as QuoteSoft, FastEST, or Trimble AutoBid) to build comprehensive and accurate project cost models.
  • Develop and maintain a robust network of material suppliers and subcontractors to solicit competitive pricing and ensure accurate material and labor cost data.
  • Prepare and submit formal requests for quotation (RFQs) to vendors and subcontractors, ensuring all required project specifications are clearly communicated.
  • Analyze and level vendor and subcontractor bids, identifying discrepancies and ensuring complete scope coverage before inclusion in the final estimate.
  • Formulate detailed and well-structured bid proposals, scopes of work, and supporting documentation for submission to general contractors and clients.
  • Attend pre-bid meetings, site walk-throughs, and other client-facing events to gather critical information and clarify project requirements.
  • Collaborate closely with the engineering and design teams to identify value engineering opportunities and suggest cost-saving alternatives without compromising system integrity.
  • Calculate labor costs, including man-hours and labor rates, by analyzing the complexity, location, and duration of the project.
  • Identify and quantify potential project risks, such as material price volatility, labor shortages, or logistical challenges, and incorporate appropriate contingencies.
  • Prepare a detailed "turnover package" for the operations and project management teams upon award of a project, ensuring a seamless transition from pre-construction to execution.
  • Maintain and update a historical cost database to improve the accuracy and efficiency of future estimating efforts.
  • Manage multiple bid opportunities simultaneously, prioritizing tasks effectively to meet strict bid deadlines.
  • Develop a comprehensive understanding of project-specific requirements, including union labor agreements, prevailing wage laws, and safety protocols.

Secondary Functions

  • Support the project management team with ad-hoc pricing requests for change orders and scope modifications on active projects.
  • Contribute to the continuous improvement of the estimating department's standards, processes, and software tools.
  • Collaborate with business development and sales teams to develop bidding strategies and target new project opportunities.
  • Participate in post-project review meetings to analyze the variance between estimated costs and actual project costs, identifying lessons learned.
  • Mentor and provide guidance to junior estimators or estimating assistants within the department.
  • Stay current with the latest HVAC technologies, materials, and installation methods to ensure estimates are modern and competitive.
  • Assist in negotiating contract terms with suppliers and subcontractors to secure favorable pricing and terms.
  • Foster positive relationships with general contractors, architects, and engineers to promote repeat business opportunities.

Required Skills & Competencies

Hard Skills (Technical)

  • Blueprint & Specification Analysis: Advanced proficiency in reading and interpreting commercial and industrial mechanical plans, P&IDs, and construction specifications.
  • Estimating Software: Expertise in using digital takeoff and estimating software (e.g., Bluebeam Revu, QuoteSoft, FastEST, Trimble AutoBid).
  • HVAC Systems Knowledge: Deep technical understanding of various HVAC systems, including VAV, VRF, chilled water, hydronic heating, and building automation systems.
  • Quantity Take-Off: Meticulous and accurate in performing manual and digital take-offs for ductwork, piping, equipment, and insulation.
  • Cost Analysis: Strong ability to analyze costs, compare vendor quotes, and understand market pricing for materials and labor.
  • Microsoft Office Suite: High proficiency in MS Excel for creating complex spreadsheets, cost summaries, and data analysis.

Education & Experience

Educational Background

Minimum Education:

Experience Requirements

Typical Experience Range:

  • 3-7 years of dedicated experience in mechanical or HVAC estimating for commercial, industrial, or institutional projects. Experience in the field as an HVAC technician or installer is highly valuable.

Preferred:

  • Experience estimating on large-scale projects ($1M+).
  • A proven track record of successfully bidding and winning profitable projects.
  • Direct experience working for a mechanical contractor.
  • Familiarity with local building codes, standards, and regulations.
