Core Responsibilities
Primary Functions
- Develop and execute a comprehensive preventative maintenance program for all HVAC equipment, including chillers, boilers, air handling units, VAV boxes, and cooling towers to ensure maximum uptime and system longevity.
- Oversee the daily operations of the HVAC department, including scheduling, dispatching, and supervising a team of in-house technicians and external service contractors.
- Manage the full lifecycle of HVAC projects, from initial concept and design review to bidding, contractor selection, installation, commissioning, and final closeout.
- Prepare, manage, and meticulously track the departmental budget, including operational expenses (OPEX) and capital expenditures (CAPEX) for repairs, upgrades, and new installations.
- Conduct regular, thorough inspections of all HVAC systems and infrastructure to identify potential issues, assess equipment condition, and ensure compliance with safety and environmental regulations.
- Serve as the primary technical expert and point of contact for all HVAC-related issues, providing advanced troubleshooting and diagnostic support to resolve complex system failures.
- Lead, mentor, and develop a high-performing team of HVAC technicians, providing ongoing training on new technologies, safety protocols, and industry best practices.
- Develop and implement energy management strategies to reduce utility consumption and costs, including optimizing Building Automation System (BAS) sequences and identifying opportunities for energy-efficient upgrades.
- Negotiate and manage service contracts and agreements with third-party vendors, suppliers, and specialized contractors, ensuring favorable terms and high-quality service delivery.
- Ensure all HVAC work is performed in strict adherence to local, state, and federal codes, as well as EPA regulations regarding refrigerant handling and disposal.
- Review and approve mechanical plans, blueprints, and technical specifications for new construction and renovation projects to ensure they meet organizational standards and operational requirements.
- Implement and manage a Computerized Maintenance Management System (CMMS) to track work orders, asset history, maintenance schedules, and inventory levels for spare parts.
- Develop and maintain a comprehensive inventory of critical spare parts and equipment to minimize downtime during emergency repairs.
- Respond to and manage emergency HVAC situations, coordinating the necessary resources to restore service quickly and safely, often outside of normal business hours.
- Prepare and present detailed reports on system performance, maintenance activities, project status, and budget adherence to senior leadership and facility stakeholders.
- Champion a strong safety culture within the team, ensuring all personnel are equipped with appropriate PPE and adhere to all safety procedures, including lockout/tagout (LOTO).
- Collaborate closely with other facility managers, including electrical and plumbing, to ensure a coordinated and integrated approach to building maintenance and operations.
- Evaluate and recommend new HVAC technologies, tools, and methodologies that can improve system efficiency, reliability, and sustainability.
- Oversee the building's water treatment program for condenser water, chilled water, and hot water systems to prevent corrosion, scaling, and biological growth.
- Manage and optimize the Building Automation System (BAS/BMS) to maintain occupant comfort, monitor critical alarms, and execute energy-saving control strategies.
- Establish key performance indicators (KPIs) for the HVAC team and systems, such as work order completion rates, PM compliance, and equipment uptime, to measure and report on departmental effectiveness.
- Coordinate and oversee the testing, adjusting, and balancing (TAB) of air and hydronic systems to ensure they perform according to design specifications.
